The Department of Pediatrics has an immediate opening for an experienced, highly motivated Administrative Assistant to perform a variety of administrative support duties for the Division of General Pediatrics to ensure office operations run smoothly and efficiently. Duties include creating and maintaining files, compiling reports, managing, storing, and disseminating information with security and compliance, planning department activities, managing meeting calendars, arranging travel, tracking expenses, monitoring supplies, scheduling maintenance, and interfacing with various groups in a professional manner.
Responsibilities- Provide administrative support to the division including purchasing and accounts payable.
- Onboard new faculty members.
- Schedule and facilitate meetings, prepare agendas, and distribute minutes.
- Assist the General Pediatrics Division in a specific clinic focus.
- Coordinate multiple faculty members’ clinical schedules and anticipate their needs.
- Perform other related duties and participate in administrative projects as needed.
- Administrative Assistants, I: Performs routine tasks under close supervision; requires little to no related experience.
- Administrative Assistants, II: Completes routine tasks under moderate supervision; requires at least 1 year of related experience.
- Administrative Assistants, III: Performs assignments with little supervision; requires 3+ years of related experience.
- Administrative Assistants, IV: Highest-level support performing advanced tasks under minimal supervision; requires 5+ years of related experience.
- Proficient in the latest versions of the Microsoft Office suite and ability to learn new software quickly.
- Excellent interpersonal and communication skills, both oral and written.
- Strong writing skills and habit of proofreading documents.
- Exceptional organization, time management, and attention to detail.
- Capable of managing multiple duties with minimal supervision.
- Ability to take directions from multiple supervisors.
- Flexibility and willingness to help where needed.
One year of higher education can be substituted for one year of directly related work experience.
