We are seeking a Legal Assistant to join the Intellectual Property - Trademark Group in the Salt Lake City office. In this role, you will be a valued team member providing legal administrative support in a dynamic Trademark Group.

Responsibilities:

  • Provide legal administrative support to attorneys and act as a liaison for clients.
  • Help with client and matter openings, which includes conflicts checks and engagement letters.
  • Review calendars proactively to stay informed of attorneys' deadlines, anticipate next steps, and implement follow-up procedures to ensure deadlines are met.
  • Create, edit, revise, redline, and/or proofread documents.
  • Maintain client and docket files and work with the document management system, docket system, and U.S. Patent and Trademark Office records.
  • Assist with reviewing the daily docket and coordinating with attorneys and paralegals on upcoming filing dates and deadlines.
  • Help with reporting USPTO correspondence to clients and preparing information disclosure statements.
  • Enter and proofread attorneys' time, ensuring accuracy and compliance with firm policies by using spellcheck and appropriate task codes.
  • Assist with the billing process, including distributing monthly proformas, reviewing and editing them, and sending invoices and related correspondence to clients.
  • Maintain both electronic and hard copy client files and promptly and accurately file electronic documents in Outlook and the document management system.
  • Process and route incoming mail and electronic communications and prepare outgoing mail and packages for shipment.
  • Process reimbursement requests, check requests, and vendor invoices.
  • Coordinate attorney meetings, appointments, and travel arrangements, including flights, hotels, and rental cars.
  • Maintain attorney CLE records, including seminar registration and reporting.
  • Delegate administrative tasks to Department Administrative Assistants.
  • Provide a high level of customer service to attorneys and clients.

Qualifications:

  • High school diploma or G.E.D. equivalent.
  • At least 4 years of related experience; law firm experience is preferred.
  • Advanced knowledge of Microsoft Office and proficiency with Adobe Acrobat.
  • Excellent oral and verbal communication skills.
  • Strong organizational skills and attention to detail and accuracy.
  • Excellent customer/client service focus and skills.
  • Ability to coordinate multiple tasks and perform well under pressure to meet deadlines.
  • Thorough understanding of legal terminology and procedures pertinent to the practice area.
  • Ability to use good judgment in resolving conflict and working in challenging situations.
  • Ability to maintain client and firm confidentiality.
  • Positive attitude and ability to work both independently and in a team environment.
  • Excellent analytical and problem-solving skills; ability to use independent judgment.

Preferred Qualifications:

  • Familiarity with the rules and procedures of the U.S. Patent and Trademark Office.
  • Familiarity with Foundation IP.
