Job Title: Ground Rent & Reconciliation Administrator

Location: Head Office, Salisbury (Hybrid)

Overview

Based within the Client Accounts Team of our Accounts Department, this role is to manage the full Ground Rent processes and controls for multiple properties under management across 5 brands.

Main Duties and Objectives
  • Ground Reconciliations;
    Produce statements on a Monthly and Quarterly basis on different software systems and aligning with bank balances.
  • Making payments to Freeholders and Developers for Ground Rent Collections in a timely manner.
  • Processing internal commission invoices upon Ground Rent Collection.
  • Managing and Processing Onboarding and Offboarding of Ground Rents.
  • Completing Lease Extension Solicitors Queries on Ground Rent and Adjustments.
  • Process Ground Rent Reviews and adjustments on Charges, organising payments and refunds as requested.
  • Review and maintain system data quality checks, ensuring accounting system controls are in place to reconcile correctly, timely and accurately.
  • Manage relationship with Freeholders and Developers.
  • Reconcile client account and trust bank accounts.
  • Download daily transactional reports and upload to our reconciliation software.
  • Produce weekly and monthly reconciliation Reports for management.
  • Experience using finance and/or property management software.
  • Experience of high-volume data management, transactions and controls therein.
  • Exceptional organisational skills and ability to work to deadlines.
  • Experience with bank reconciliation, ledger analysis, or similar financial processing.
  • Ability to interpret statements, invoices, and remittance advice.
  • Ability to learn new systems quickly and follow process workflows accurately.
  • An effective wider team player.
  • Motivated and target driven.
  • Strong attention to detail and very high level of accuracy.
  • Capable of working under pressure.
