Accounts Payable Specialist - Full-Time

Location:

Salisbury, MD
Salary Range: $35,000 -$63,000 annually

Schedule:

Four-day, 36-hour work week - Monday through Thursday

Position Summary

The Accounts Payable Specialist is responsible for managing the full-cycle accounts payable process. This role ensures timely and accurate processing of vendor invoices, expense reimbursements, and payments while maintaining compliance with grant requirements, internal controls, and nonprofit financial regulations. The Specialist supports the organization's mission by promoting fiscal responsibility, transparency, and strong stewardship of public and private funding sources.

Key Responsibilities
  • Process and verify vendor invoices, check requests, credit card statements, and employee expense reimbursements.
  • Ensure proper coding of expenses to general ledger accounts, programs, and grant funding sources.
  • Prepare and process weekly check runs, ACH payments, and electronic transfers.
  • Maintain vendor files, including W-9s and payment documentation, and ensure compliance with IRS and audit requirements.
  • Reconcile accounts payable ledger to the general ledger and assist with month-end and year-end closing processes.
  • Monitor contract and grant budgets to ensure expenditures align with funding requirements.
  • Respond to vendor inquiries and resolve discrepancies in a timely and professional manner.
  • Assist with preparation for annual audits and provide requested financial documentation.
  • Maintain strict confidentiality of financial and organizational information.
  • Support continuous improvement of financial systems and internal controls.
  • Perform other finance-related duties as assigned.
Qualifications & Experience
  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred; equivalent experience considered.
  • Minimum of 2-3 years of accounts payable or general accounting experience, preferably in a nonprofit or healthcare setting.
  • Knowledge of nonprofit accounting principles and grant funding requirements preferred.
  • Proficiency in accounting software and Microsoft Office Suite, especially Excel.
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong communication and interpersonal skills with a customer-service mindset.
