Position SummaryThe Document Control Specialist is a critical program role responsible for owning the controlled documentation ecosystem across data center construction and commissioning turnover program. This individual ensures that every document — from submittals and RFIs to commissioning evidence packages and operational procedures — is version‑controlled, properly distributed, and compliant with company standards from first issuance through final handover.
This is not a passive filing role. The right candidate is a proactive technical partner who understands construction and commissioning workflows, can author and revise procedure content, and drives first‑pass acceptance at handover by maintaining document quality and traceability throughout the program lifecycle.
Approximately 75% of the role is focused on document control and records management. The remaining 25% supports program‑level SOP development by coordinating subject matter experts, drafting and harmonizing procedures across sites, and managing controlled release and revision cycles.
Core Responsibilities- Document Control and Records Management
- Own and administer the controlled document library across SharePoint, Procore, and CxAlloy — maintaining version control, metadata, distribution lists, and document status throughout all project phases.
- Manage incoming and outgoing documentation workflows for submittals, RFIs, transmittals, change orders, inspection reports, and as‑built drawings.
- Track document review cycles, ensure timely response and distribution, and maintain an auditable record of all transmittal and approval activity.
- Coordinate commissioning evidence packages — ensuring test records, punch lists, deficiency logs, and acceptance documentation are complete, properly formatted, and traceable to the company's handover requirements.
- Maintain as‑built drawing sets and O&M manual packages, coordinating with engineering and construction teams to capture and incorporate field changes.
- Enforce document control standards and naming conventions across the project team, providing guidance and correction to subcontractors and vendors who submit non‑conforming documentation.
- Technical Writing and Procedure Development
- Author, revise, and format operational procedures including Standard Operating Procedures (SOPs), Method of Procedure (MOPs), and Emergency Operating Procedures (EOPs) in compliance with company documentation standards.
- Partner with engineers, commissioning leads, and operations personnel to capture technical content accurately and translate it into clear, executable procedure language.
- Standardize procedure templates and formatting across the program to ensure consistency and compliance with the company's controlled document framework.
- Manage the procedure review and approval cycle — coordinating SME input, consolidating comments, tracking revisions, and ensuring controlled release through the appropriate approval workflow.
- Program‑Level SOP Coordination (approximately 25% of time)
- Support cross‑site SOP harmonization efforts by coordinating with subject matter experts across multiple OCI program locations.
- Draft and revise program‑level procedures that apply across sites, ensuring consistency in language, format, and technical intent.
- Drive controlled release and update cycles for program‑level documentation, managing version control and distribution to all applicable site teams.
- Identify gaps in procedure coverage and proactively flag areas where new or revised SOPs are needed to support commissioning or operational readiness milestones.
- 5 or more years of document control experience on large‑scale construction, data center, or mission‑critical infrastructure programs.
- Demonstrated proficiency in SharePoint, Procore, and at least one commissioning management platform such as CxAlloy or Facility Grid.
