Job Description

The Health Information Specialist coordinates the activities of Medical Records for Health Services at the Oregon State Correctional Institution. Responsibilities include compiling, processing, and maintaining medical records for adults in custody and after release, acting as liaison for medical personnel, managing records retention and responses to public records requests, and serving as custodian of all AIC medical records.

Key Responsibilities
  • Prepare and maintain patient records by establishing new records, filing documents, reviewing charts for deficiencies, and pulling charts as necessary.
  • Maintain a tracking and recall system to identify receipt and dissemination of medical records.
  • Organize movement of inactive medical records to storage; authorize destruction of outdated records per retention guidelines.
  • Develop and maintain written policies governing the release, compilation, storage, dissemination, use, and accessibility of patient records, and monitor compliance.
  • Respond to requests for patient records from former AICs and community providers, ensuring continuity of care.
  • Track records requests in the database to ensure compliance with retention schedules and document request details.
  • Plan and maintain health records indexes or storage and retrieval systems to collect, classify, store, or analyze information.
Minimum Qualifications
  • Two years of experience related to health information or a related field.
  • Or an Associate's degree in Health Information Technology from an accredited program.
  • Or an equivalent combination of training and experience.
  • Preference for candidates with a health information technician certification or Registered Health Information Technician (RHIT) credential.

Working Conditions

The role is primarily office‑based with prolonged sitting and extensive computer use, telephone and conference participation, and use of research manuals. Duties may require occasional after‑hours work, weekends, overnight assignments, in‑state travel, and operation of a motor vehicle. Work may occur in an adult correctional facility where interactions with AICs may occur.
