JOB DESCRIPTION DEFINITION

Under the direction of the Financial Aid Director, the Financial Aid Officer is responsible for administering the financial aid programs in accordance with Federal, State, and Local regulations; and performs other duties as assigned.

  • Ensure timely collection of documentation, completion, and ensuring accuracy of paperwork and financial aid files to ensure compliance.
  • Ensure necessary packaging documentation is obtained, including, but not limited to:
    • verification documentation
    • valid ISIRS
    • clearing all “C” codes immediately upon receipt of the ISIR
    • loan documents and loan reference sheets
  • Establish and maintain an audit-ready file including, but not limited to:
    • All financial aid paperwork including satisfactory progress documentation
    • Documentation of check receipt
    • Entrance and Exit interviews
  • Utilize document tracking in Transcripts to identify any missing items in files including documentation of Satisfactory Academic Progress.
  • Update database when changes occur during enrollment, including revisions due to crossover or corrected funding.
  • Counsel students on loan awareness and explain students’ rights and responsibilities for each aid source.
  • Enter Budgets and scan documents into database. Submit file for review.
  • Participate in meetings with the Financial Aid Director to review document tracking issues and outstanding cash.
  • Participate in communication meetings, in-service sessions, student orientation, graduation, and other school events as required by the school.
  • Abide by the policies and procedures as outlined in the standards.
  • Other miscellaneous duties and reports as required by the Director of Financial Aid
KNOWLEDGE, SKILLS, AND ABILITIES

The Financial Aid Officer shall demonstrate experience and education commensurate with the responsibilities of the position. The Financial Aid Officer shall attend a State approved financial aid workshop and receive certification. The Financial Aid Officer must demonstrate strong analytical skills as well as professional phone and customer service skills; must have excellent verbal and written communication skills; and must be organized, detailed, self‑motivated, and able to multi‑task.

  • Strong knowledge of MS Office, including Word, Excel, Adobe, Teams and Outlook
  • Strong knowledge with Title IV Federal Funding, FAFSA Application, COD and NSLDS systems
  • Work requires professional written and verbal communication and interpersonal skills
  • Ability to produce quality output within tight time frames and simultaneously manages several projects
  • Ability to participate in and facilitate group meetings
  • Strong analytical, organizational, multi‑tasking, problem‑solving, and time‑management skills
MINIMUM QUALIFICATIONS
  • A college degree is preferred, along with at least one year of office experience. A combination of relevant education and experience may be considered, as determined by the Financial Aid Director. Preference will be given to candidates with a minimum of one year of experience in a financial aid environment or an Associate’s degree in Business Administration, Accounting, or a related field.
OTHER
  • A valid Oregon Driver's License may be required.
