About Summer Work Program:The Summer Work Program (SWP) is LEAP’s premier Work Based Learning opportunity, a 6‑week program for high school students to get early job experience, explore their interests, learn how to set goals, and build their long‑term career readiness skills. Multilingual learners will do this in a supportive environment that aids in developing their written and oral English literacy skills.
Program Goals:- Provide students with high‑quality career development experiences that foster positive connection to peers, employers, mentors, and the larger community
- Support the development of key soft skills through workshops and applied learning
- Engage students in projects that connect to a career of interest
The Summer Work Program Site Coordinator is responsible for supporting pre‑program planning and leading the implementation and oversight of all on‑site logistics and daily operations for LEAP’s Summer Work Program. This role supervises the summer program staff—including an administrative assistant, four lead facilitators along with their assistant facilitators, and any additional short‑term staff as needed—to ensure that all programmatic objectives are met.
The Site Coordinator also ensures that students (estimated 50–60 this year), staff, and stakeholders receive the support they need throughout the program.
Student Onboarding:
- In partnership with LEAP’s HR Coordinator, Grant Specialist, and Program Admin, oversee the onboarding process for the selected high school students (50–60 participants), ensuring all mandatory documents and forms are collected, tracked, and verified using the designated Admin Spreadsheet.
Administrative & Program Preparation:
- Collaborate with LEAP staff and the Program Admin to set up student email and Mass Pay accounts.
- Assist in organizing curriculum materials and preparing necessary instructional resources.
- Support the onboarding process for summer staff, including lead and assistant facilitators.
- Oversee communications with students and families, including launch emails and transportation details, with support from the Program Admin.
- Develop a culture‑building plan for staff and student recognition during the summer program (e.g. supervisor and intern of the week).
- Coordinate preparatory tasks using the Project Management Guide and Asana to ensure readiness for program launch.
Daily Operations & Staff Oversight:
- Lead the on‑site execution of the program, ensuring smooth daily operations and adherence to the established schedule.
- Supervise the administrative assistant, lead facilitators, assistant facilitators, and any additional short‑term staff, providing guidance and support throughout the day.
- Conduct structured check‑ins during the program—starting with daily 30‑minute check‑ins during the first week and transitioning to beginning and end of week 30‑minute check‑ins thereafter—to address issues, share updates, and coordinate next steps.
- Delegate and manage administrative tasks such as maintaining up‑to‑date student rosters and ensuring all required paperwork is collected.
- Oversee the distribution and setup of curriculum materials, ensuring all cohorts have the resources necessary for success.
Program Support & Communication:
- Facilitate clear and consistent on‑site communication, ensuring every team member understands daily priorities and any adjustments required.
