Description

We are seeking a Project Coordinator who will be responsible for the overall success of construction projects for fire alarm, security, and other Dyna Fire fire protection systems. Success is defined as profitable while meeting all construction schedule dates and producing a quality product/service by managing Dyna Fire personnel responsible for the construction of the project. The Coordinator will analyze and balance a project manager's needs with the corporate standards and requirements while working within the Mission and 8 Core Values.

This position will also assist Project Managers, Engineers, and Technicians to procure applications for the construction permitting process.

  • Maximize the profitability of assigned projects, including following the policy/procedure of how to invoice for project materials and equipment.
  • Assist in ensuring Dyna Fire is never the reason the certificate of occupancy does not pass the first time.
  • Effectively communicate the needs required to complete Dyna Fire's scope of work to all parties impacting the project, including foremen, installers, clients, and clients' clients.
  • Promptly communicate with the client any issues related to the project, including when employees will be arriving and leaving.
  • Assist in mobilization and providing final documentation to complete the delivery of a system.
  • Assist Sales and the Engineering Department in locating electronic CAD files and other support material needed to complete a hand‑off and permit application. If Sales is leaning excessively on the Project Coordinator, bring this to the attention of a supervisor.
  • Attend project meetings when needed by sales or client.
  • Attend project hand‑off meetings between sales and operations, bringing a task list that must be completed and signed off by all parties responsible for delivery of materials.
  • Review equipment orders (BOMs) to ensure all orders are within budget, compare them to the estimate tool provided by sales, confirm delivery dates once A/R has invoiced a minimum of 30 days in advance of placing an order, and then place the order.
  • Ensure damaged or defective equipment is returned for repair or credit; maximum turnaround time does not exceed 60 days.
  • No extra equipment should be delivered to projects without change‑order or management authorization.
  • Recover extra equipment and materials from the project manager for return into inventory and credit to the project.
  • Confirm that the project manager has provided specialty construction tools for the foreman or other construction team members.
  • Coordinate, document, and report the bench testing, labeling, packaging, and delivery of equipment for each project.
  • Fill out the variance report of KPIs for each project by meeting with the project manager once a week; KPIs are provided by management.
  • Provide necessary reports as needed by management.
  • Document and report variances from compliance with Dyna Fire's and client’s safety programs.
  • Have a high-level knowledge of construction tools, including lifts and wire‑pulling devices.
  • Assist in securing Dyna Net opportunities as part of the final delivery by working with New Construction and Service Sales Managers and Operations Manager; bring opportunities at risk to Executive Management before losing a sale.
  • Send, collect, and report customer satisfaction surveys for all projects.
  • Send the introduction email after the project review meeting introducing the Project Manager and requesting the documents needed for Engineering.
  • Responsible for all construction permitting.
Requirements

Training and Certification Requirements:

  • Become familiar with the Project Manager's process groups within the first 30 days of employment.
  • Obtain NICET Level I in Fire Alarm Systems or Water‑Based Systems Layout within 12 months.
  • Not required, but recommended for advancement; obtain NICET Level II in Fire Alarm Systems or Water‑Based Systems Layout within 36 months.
