Position Summary
MSM North America is seeking a highly skilled and detail-oriented Subcontracts Administrator to support procurement and subcontract management for defense and aerospace programs. This role is responsible for the full lifecycle of subcontracting, including solicitation, negotiation, award, administration, compliance, and closeout. The Senior Subcontracts Administrator will work closely with internal stakeholders, subcontractors, and government representatives to ensure that subcontracting activities are executed in compliance with FAR, DFARS, ITAR, and MSM standards.
As a senior-level contributor, this role provides contractual and business expertise, mentors junior staff, and drives process improvements that enhance subcontracting efficiency, accuracy, and compliance across programs.
- Subcontract Lifecycle Management:
Lead the preparation, issuance, negotiation, and administration of complex subcontract agreements. - Subcontract Lifecycle Management:
Manage subcontract modifications, change orders, and closeout activities in compliance with government and company policies. - Subcontract Lifecycle Management:
Maintain accurate, audit-ready subcontract files to support DCAA, DCMA, and customer reviews. - Compliance & Regulatory Oversight:
Ensure subcontracting practices comply with FAR, DFARS, ITAR, and other applicable U.S. Government regulations. - Compliance & Regulatory Oversight:
Monitor subcontractor performance to ensure adherence to schedule, cost, quality, and reporting requirements. - Compliance & Regulatory Oversight:
Support internal and external audits, including corrective action planning. - Risk Management & Negotiations:
Conduct contractual and business risk assessments on subcontract terms and conditions. - Risk Management & Negotiations:
Negotiate subcontract terms and conditions (T&Cs), ensuring risks are identified, mitigated, and aligned with MSM and customer requirements. - Risk Management & Negotiations:
Provide proactive input to leadership regarding subcontractor performance and exposure. - Stakeholder & Subcontractor Engagement:
Collaborate with program management, engineering, finance, and legal to align subcontract requirements with project and contractual obligations. - Stakeholder & Subcontractor Engagement:
Serve as the primary point of contact for subcontractors, managing communications and negotiations. - Stakeholder & Subcontractor Engagement:
Support supplier performance management and improvement initiatives. - Continuous Improvement & Mentorship:
Develop and maintain subcontract templates, processes, and training for the supply chain function. - Continuous Improvement & Mentorship:
Mentor and provide guidance to junior subcontract administrators on best practices. - Continuous Improvement & Mentorship:
Drive improvements in subcontract cycle time, efficiency, and compliance controls.
- Bachelor's degree in Business Administration, Contract Management, Supply Chain or related field.
- Minimum 2 years of direct experience in Department of Defense subcontract administration.
- Prior experience supporting large, complex government contracts and programs.
- Demonstrated expertise in U.S. Government contracting, including FAR, DFARS, and ITAR.
- Proven experience negotiating subcontract terms and conditions (T&Cs).
- Proficiency in Microsoft Office Suite, ERP systems (e.g., Deltek), and contract lifecycle management tools.
- Strong leadership, negotiation, and interpersonal communication skills.
- Excellent organizational and analytical skills with the ability to manage multiple priorities under tight deadlines.
- Master's degree in Government Procurement, Contract Management or related discipline.
- Experience with Costpoint or similar ERP/subcontract management systems strongly preferred.
- Experience supporting defense programs in high-compliance environments.
- Strong negotiation skills with proven ability to secure favorable subcontract outcomes.
- Proficiency in Microsoft Office Suite, ERP systems (e.g., Deltek Costpoint), and subcontract lifecycle management tools.
- Excellent organizational and analytical abilities with attention to detail.
- Exceptional written and verbal communication skills with ability to interface with subcontractors, internal teams, and government agencies.

The Sr. Subcontracts Administrator will work in a high-compliance, fast-paced environment requiring regular engagement with internal teams, subcontractors, and government stakeholders. This role is an onsite role, based in the St. Petersburg, FL office.
