Overview
Suncoast Center, a leader in quality behavioral health services, is seeking a reliable, detail-oriented project assistant to support our Assertive Community Treatment (FACT) mental health team. This role is essential to daily operations and requires strong organizational skills, professionalism, and the ability to work in a fast-paced, client-centered environment.
Suncoast Center has devoted over 75 years to ensuring the community has access to mental health services and support to individuals in need.
Responsibilities- Lead daily morning team meetings to support effective communication and coordination.
- Create and maintain weekly staff schedules for community-based client services.
- Develop monthly on-call schedule for after-hours coverage.
- Serve as the first point of contact at the front desk by answering phones and directing inquiries. Include triage and coordination between the team and persons served; provide answers to questions for persons served, families, community resources, and agencies; assist callers to address urgent situations or to manage them temporarily until other staff are available; attend to behavioral concerns of individuals visiting the FACT office;
and determine when and how quickly to refer calls to other staff. - Coordinate transportation for clients to appointments and other essential services.
- Support the APRN with appointment scheduling.
- Manage billing and financial tasks, including processing rent and utility payments for clients.
- Document client-related information in an electronic medical record.
- Sort, distribute and manage incoming and outgoing mail.
- Complete accurate weekly, monthly, and quarterly operational reports.
- Maintain organized records, files and office systems.
- Stock and manage office supplies and provide general administrative support to the team.
- Interact with all persons served, guests and staff in a warm, friendly manner; follow up on pending client issues; coordinate with staff to obtain solutions to problems.
- Collect necessary data and prepare reports; ensure all required reports are completed accurately and in a timely manner.
- Coordinate housing needs of the persons served, including maintaining contact with ALF managers, apartment managers and other community partners; advocate for individuals to obtain a lease, find new apartments and coordinate all aspects of housing for clients served.
- Accomplish individual goals.
Education: High school graduate or GED certificate; ability to read and comprehend written instructions; write legibly; operate office equipment; file accurately and keep records.
Experience: Extensive clerical experience. Computer and typing skills with accuracy and speed. Ability to be flexible, well organized and handle multiple tasks. Ability to make independent decisions, prioritize and meet deadlines. Previous experience in administrative support, healthcare, mental health, or social services preferred.
Additional Requirements: Must be 21 years of age. Negative drug screening prior to hire and throughout employment. Clear criminal background check throughout employment with Suncoast Center and local checks prior to hire and annually, along with DCF Level II prior to hire as required by DCF, and must have a valid Florida driver's license; motor vehicle checks prior to hire and annually with acceptable driving record, plus reliable vehicle, valid registration, and valid vehicle insurance.
Must be in compliance with Florida laws and administrative codes with fingerprinting and determined to be of good moral character.
Computer Literacy: Proficient in Microsoft Outlook, Word, Excel; familiar with electronic medical records.
Working Conditions: FACT office.
Schedule5 days per week;
Monday through Friday.
