About Us

We are a small, well‑established insurance defense law firm in Florida with a team of approximately 10 employees. Our firm prides itself on professionalism, responsiveness, and a supportive work environment. Because of our size, each team member plays a key role in our success, and we are seeking an Office Manager who can take ownership of daily operations and help keep our office running efficiently.

Position Overview

The Office Manager will serve as the central point of coordination for the firm’s administrative activities. This is a hands‑on role ideal for someone who is organized, proactive, and comfortable wearing many hats. Prior experience in a law firm—especially in litigation or insurance defense—is highly preferred.

Key Responsibilities
  • Oversee day‑to‑day office operations, including supplies, equipment, mail, and vendor management
  • Maintain organized physical and electronic filing systems
  • Provide administrative support to attorneys and paralegals, including scheduling, calendaring deadlines, and coordinating meetings
  • Assist with new employee onboarding, time‑keeping oversight, and maintaining personnel files
  • Coordinate with billing staff on invoicing, expenses, and basic bookkeeping tasks
  • Serve as a liaison for IT support and ensure technology systems are functioning smoothly
  • Handle office communications, including answering calls and greeting visitors
  • Maintain office procedures, confidentiality requirements, and compliance standards
  • Support partners with administrative tasks and special projects as needed
Qualifications
  • Prior experience in an office management, legal assistant, or administrative role within a law firm required
  • Familiarity with litigation processes and legal terminology; insurance defense experience is a plus
  • Strong organizational skills with the ability to juggle multiple tasks independently
  • Professional communication skills and a customer‑service mindset
  • Proficiency with Microsoft Office Suite and case management software (e.g., Aderant, Clio, Pro Law, or similar)
  • Ability to maintain confidentiality and handle sensitive information
  • Comfortable working in a small team environment where flexibility is essential
