POSITION PURPOSE/SUMMARY

Supports student success and school operations by maintaining accurate attendance records, facilitating communication with families regarding student attendance, and ensuring compliance with state attendance reporting requirements.

Qualifications

QUALIFICATION REQUIREMENTS

The attendance clerk shall have a minimum of a high school diploma or its equivalent and be competent in the duties to be performed. The employee shall have a high level of competence in clerical skills as demonstrated by the District’s skills assessments.

Responsibilities

ESSENTIAL DUTIES

  • Work cooperatively with the attendance education office professional to maintain an accurate student database.
  • Monitors and/or collects daily attendance data.
  • Supports entering attendance information into student information systems.
  • Generates daily attendance reports for administrative review.
  • Utilizes district communication methods (i.e., phone, email) to contact families regarding absences.
  • Effectively communicate, verbally and in written form, with parents, students, administrators, staff, and the community as needed
  • Assist in checking in late arrivals and issuing admit slips.
  • Maintains proficiency in student information systems and attendance management software, attending training and other learning opportunities to keep informed of any changes to the software system.
  • Maintain the confidential nature of all school-related matters.

ADDITIONAL DUTIES

  • Other duties as assigned by the supervisor.
  • Operate office machinery.
  • Attend in-service workshops related to the job description to remain current.
Demands

MENTAL DEMANDS

Ability to maintain highly confidential information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions. Solve a variety of problems in many different situations and perform in a fast-paced environment.

PHYSICAL DEMANDS

While performing the duties of this position an employee is regularly required to sit, talk, and hear. Close vision ability to look at a computer screen for long periods of time is required. The employee will occasionally lift, carry, move, push, or pull up to 20 pounds.

Terms of Employment

Employment will be on an at-will basis for 9 months, beginning with the first day of the work calendar or at the time of employment for the duration of the school year with prorated personal leave. Each attendance clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate.

Seven hours (including a 30-minute non-paid lunch period) will constitute a workday for the attendance clerk. A definite daily schedule will be established by the principal and approved by the Chief Human Resources Officer.

The yearly salary will be disbursed in nineteen (19) equal payments or twenty-four (24) equal payments per employee’s choice.

Evaluation

Performance of this job will then be evaluated annually in accordance with the provisions of the Board’s policy on evaluation of support staff personnel.
