The Accountant is responsible for ensuring accurate and timely processing of invoices and bills, including but not limited to research/resolution of vendor accounts, new vendor paperwork, and accurately posting incoming donor and contribution payments. Additionally, this position manages payroll and is an administrator on our Paylocity system. Due to the nature of our work, confidentiality and discretion are critical.

Women’s Advocates is experiencing growth and expansion, and the Accountant will have the opportunity to be part of building effective and efficient processes within the finance team with opportunities for an expanded role under the mentorship of the Director of Finance.

Schedule:

This position is full-time, hybrid – with a minimum of 2 days a week required on-site.

The pay range for this position is $65,000 - $75,000 annually and the position is exempt.

DUTIES AND RESPONSIBILITIES
  • Ensures billings and receivables are accurately processed in a timely manner
  • Performs accounts payable transactions for payment processing
  • Prepares general journal entries and reconciles balance sheet accounts
  • Prepares, posts, verifies, and records donor payments and transactions related to accounts receivable
  • Prepare bank deposits and deliver them to the bank
  • Assists Finance Director in reconciling revenue account, credit card transactions, and payroll benefits transactions each month
  • Maintains and updates donor files, including name or address changes, mergers, or mailing attentions
  • Obtains appropriate verification(s) and approval(s) for invoices before posting
  • Prepares weekly batch check runs
  • Addresses and corrects any discrepancies in accounts or billings
  • Maintains vendor relationships, and ensures timely responses to internal and external vendor inquiries/issues
  • Assists Director of Finance in reconciling revenue accounts each month
  • Prepares transaction history reports, as requested
  • Prepares Form 1099's
  • Ensures that all processing and reporting deadlines are consistently achieved
  • Complies with federal, state, and Women’s Advocates policies, procedures, and regulations
  • Prepares bank deposits
  • Copies, files, and retrieves documents, as needed
  • Communicates changes of information to applicable employees
  • Copy, file, and retrieve documents for audits and financial desk reviews, and other purposes, as needed
  • Updates annual forms, such as mileage reimbursement, tax-exempt forms and more.
  • Processes payroll biweekly, including following up on timecard discrepancies, assisting with questions regarding PTO and other leave balances, as well as systems questions. Processes pay changes and terminates employees after receipt of last paycheck.
  • REQUIREMENTS
  • Associates degree in a related field required
  • Minimum of three years of accounting experience
  • Proficient in Quick Books and Microsoft Office Suite
  • Proficiency with  or other accounts payable automation solutions
  • Ability to work independently in a fast-paced environment
  • Ability to anticipate work needs and interact professionally with internal and external donors
  • Excellent organizational skills and attention to detail, with high degree of accuracy.
  • Ability to explain accounting/payroll processes to non-finance staff
  • Strong interpersonal, communication, critical thinking, and organizational skills.
  • Ability to handle multiple assignments, establish priorities, and be self-directed.
  • Demonstrated experience with or commitment to intercultural development and anti-racism work in the workplace.
  • Commitment to actively contributing to the organization being a safe space for members of the LGBTQ+ community.
  • Physically ambulatory and able to negotiate multiple stairways.
  • If driving for WA, a valid driver’s license is required.
