Position Summary
HCPA is a Title I charter school serving students through a school-wide instructional model designed to meet the needs of at-risk learners. The Attendance Manager is responsible for overseeing and managing all aspects of student attendance to ensure compliance with state and federal requirements while supporting improved student engagement and academic success. This role monitors daily attendance, implements attendance interventions, collaborates with internal teams, and partners with families to address attendance barriers.
The Attendance Manager plays a critical role within the school's MTSS framework and serves as a liaison between families, staff, and external agencies regarding attendance matters.
Responsibilities
- Manage, monitor, and oversee all aspects of the Attendance Office to ensure accurate daily attendance records within the student information system.
- Lead and coordinate school-wide MTSS attendance processes, interventions, and progress monitoring.
- Ensure attendance procedures comply with all local, state, and federal laws, regulations, and reporting requirements.
- Lead, identify, track, analyze, and document patterns of chronic absenteeism and truancy.
- Prepare, maintain, and submit required attendance reports for internal leadership and external agencies.
- Maintain confidential student records in accordance with data practices and school policies.
- Implement and oversee tiered attendance interventions aligned with MTSS frameworks.
- Conduct outreach to families regarding attendance concerns through phone calls, meetings, and written communication.
- Develop, implement, and monitor individualized attendance improvement plans for identified students.
- Collaborate with counselors, social workers, teachers, administrators, parents/guardians, support staff, and external partners to remove barriers to regular attendance.
- Participate in attendance-related meetings, including student support team meetings and parent/teacher conferences.
- Build and maintain positive, respectful relationships with families to promote consistent student attendance.
- Provide families with clear, accurate, and consistent information regarding attendance expectations, policies, and legal requirements.
- Coordinate with community agencies, county representatives, and social service organizations to support students and families as needed.
- Lead and manage truancy processes, including referrals, documentation, follow-up, and required communications.
- Serve as a resource to staff regarding attendance procedures, compliance requirements, and best practices.
- Communicate attendance trends, data analysis, and concerns to school leadership in a timely and effective manner.
- Support school-wide initiatives focused on improving attendance, engagement, and student success.
- Collaborate closely with enrollment, front office, health, and family engagement teams to ensure accurate and consistent attendance processes.
- Support front office and student services operations as needed.
- Assist with student enrollment, withdrawal, and re-entry processes related to attendance.
- Prepare, assemble, and distribute agendas and supporting materials for assigned meetings; record, transcribe, and distribute meeting minutes as required.
- Develop and implement procedures to improve efficiency and workflow within the Attendance Office.
- Supervise assigned student activities, which may include:
- Bus duty, including assisting students to buses at dismissal
- Breakfast and/or lunch supervision based on a rotational schedule
- Welcome visitors, parents/guardians, students, vendors, and staff with professionalism and courtesy, addressing inquiries and directing individuals in accordance with established procedures.
- Maintain and update manual and electronic records, including attendance logs, notification logs, and cumulative files, ensuring accuracy and compliance with legal and administrative guidelines.
- Operate and maintain automated attendance systems to ensure accurate tracking and documentation.
- Supervise students referred for disciplinary or administrative reasons to ensure safety and maintain a secure office environment.
- Notify parents/guardians of student absences in accordance with administrative and mandated requirements.
