The purpose of your role as a Legal Operations Specialist

In coordination with Harris counsel, the Legal Operations Specialist will be responsible for managing insurance and bonding programs, litigation tracking, corporate governance obligations, licensing requirements, and key legal documentation along with providing support to Harris counsel as needed. This role will serve as the central coordinator of legal information, tracking deadlines, filings, and records. While much of the work will be internal and administrative, the ideal candidate will have experience collaborating with the Harris legal team along with other internal stakeholders, outside counsel, brokers, insurers, and government agencies as needed.

Insurance & Bonding Administration

  • Maintain master calendars for insurance policy renewals, audits, endorsements, and reporting obligations
  • Coordinate with brokers, risk management, finance, and operations to gather insurance renewal information
  • Track certificates of insurance, additional insured requests, and related compliance requirements
  • Support internal claims management, including intake, documentation, follow-up, and coordination with adjusters and counsel
  • Maintain organized electronic and physical policy and claim files
  • Maintain a centralized docket and calendar of litigation, arbitration, and claim deadlines
  • Track pleadings, discovery obligations, hearing dates, and reporting milestones upon collaboration with assigned Harris counsel
  • Coordinate document collection and logistics between business units, assigned Harris counsel, and outside firms
  • Prepare regular status and exposure reports for leadership upon collaboration with assigned Harris counsel.

Corporate Governance & Entity Management

  • Maintain minute books, resolutions, officer/director records, and governance documents
  • Track annual meetings, elections, required filings, and good-standing requirements
  • Coordinate preparation and execution of resolutions and written consents
  • Support amendments, qualifications, and intercompany documentation

Licensing & Regulatory Compliance

  • Prepare, submit, and track license applications, renewals, and associated documentation in support of the Operational Services Manager as part of our Corporate Restructure initiative
  • Communicate with state and local agencies, licensing boards, and regulators to gather requirements and resolve issues
  • Maintain a master compliance database and calendar

Labor & Union Documentation

  • Maintain repository of collective bargaining agreements and related obligations
  • Track notice requirements, renewals, and jurisdictional compliance items

Department Operations

  • Build and maintain organized digital filing systems and workflows
  • Handle expense reporting and travel as necessary for Harris counsel
  • Develop dashboards and reporting tools to increase visibility of risk and deadlines
  • Identify process improvements and implement best administrative practices
  • Serve as the organizational manager for the Legal Department and provide administrative support to Harris counsel as needed.

What we're looking for in you

  • Associates degree in Legal Studies, Business, or a related field required with 3-5 years of experience
  • Bachelor's degree preferred
  • 3+ Years as a legal assistant, legal administrator, or similar role
  • 3+ Years working in a law firm or in-house legal environment
  • Experience with court e-filing systems
  • Exposure to insurance administration or risk management
  • Experience with corporate records, governance documentation, or entity management
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience creating templates, tracking systems, or process improvement
