The Purchasing Specialist is a mid‑level role responsible for managing day‑to‑day purchasing activities while helping to build and improve procurement processes for API Inc. This position requires 2–4 years of purchasing experience, strong negotiation abilities, intermediate Excel skills, and the ability to collaborate effectively with internal teams and vendors. This role includes quoting, order placement, supplier communication, and shared inbox management, while also supporting process development and future ERP implementation efforts.
A construction background is beneficial but not required.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Prepare and obtain quotes for project‑specific materials, equipment, and services.
- Analyze quotes for accuracy, pricing, and alignment with project requirements.
- Create and issue purchase orders (POs) for projects and overhead.
- Confirm orders, communicate delivery schedules, and coordinate shipments.
- Maintain accurate purchasing records in existing purchasing and financial systems.
- Manage the shared purchasing inbox and respond within established service‑level timelines.
- Track project material status and follow up with vendors and internal stakeholders as needed.
- Assist with tracking and reconciling procurement credit card purchases.
- Source, evaluate, and maintain strong relationships with suppliers and vendors.
- Negotiate pricing, terms, and service agreements to support cost‑savings and value goals.
- Partner with the Purchasing Manager to document, refine, and implement purchasing workflows.
- Assist with implementing and optimizing an ERP system for procurement activities.
SKILLS AND ABILITIES
- Ability to create and improve processes.

- Detail‑oriented with analytical problem‑solving ability.
- Ability to work independently and collaboratively
- Bachelor’s degree in Business (Preferred).
- 2–4 years of purchasing or procurement experience (required).
