Aboutthe Role
This full-time position facilitates group educational experiences, including school and community group visits as well as virtual experiences. You will provide customer service and knowledgeable guidance for groups, assisting with booking experiences and maintaining accurate records in various systems.
Major Areas of Accountability External Communication (75%)- Respond to inquiries regarding museum visits, group rates, and reservation availability.
- Offer guidance and assistance to group leaders on Bell museum and planetarium experiences; suggest museum and planetarium experiences to meet group leader’s goals.
- Maintain templates and procedures for group sales communication to ensure accurate and complete communication of museum booking details and museum policies.
- Use templates to address frequently asked questions and ensure consistency in communication.
- Review bookings for details and send confirmation and reminder messages using museum systems.
- Prepare and send post‑experience communications to group leaders.
- Assist with the scholarship award communication for schools.
- Monitor bookings to ensure groups are prepared for their visits.
- Send reminder text messages for upcoming virtual programs.
- Monitor the group sales Gmail inbox and respond to inquiries or elevate complex issues to Group Sales Coordinator.
- Monitor group sales voicemail messages and return calls or elevate to Group Sales Coordinator.
- Work across museum departments to communicate logistical details of groups visiting the museum or reservation changes.
- Maintain accurate group booking details in Google Sheets, Google Calendar, and Audience View ticketing software.
- Attend cross‑departmental planning meetings to support group visit logistics.
- Participate in professional development and collegiate/University meetings and events as appropriate.
- Assist with the logistics and registration for annual Bell‑sponsored events (i.e. Home school day, educator open houses).
- Assist with off‑site tabling at school field trip events or community festivals to market Bell Museum school and group programs.
- Provide welcoming and helpful communication to all groups, regardless of background or experience.
- Identify barriers to booking museum experiences and examine museum communications through a lens of equity and inclusion.
- Provide information about the museum’s accessibility resources to group leaders and assist with museum departments to arrange for accommodations.
Required Qualifications
- High School diploma/GED and two years of related office and administrative experience (training/education may substitute for some experience).
- Two years of experience in a ticketing, group sales, or guest services setting.
- Keen attention to detail, excellent organizational skills, and ability to recognize errors.
- Ability to consistently work Tuesday–Friday on‑site at the Bell Museum.
- Demonstrated commitment to inclusive practices and equity.
- Ability to communicate complex information via phone, email, and in person.
- High level of proficiency with Google Sheets, Documents, and Calendars.
- Ability to take initiative and work independently and as part of a collaborative team.
Hybrid
This is a hybrid position required to be in the museum when groups are visiting, typically between 8:30 am – 1:30 pm, Tuesday – Friday. Some work may be done remotely.
SALARY RANGE$22.45 - $24.25 per hour
