The Dakota County Community Development Agency is seeking a summer intern to assist with administrative tasks in the Property Management department. This is a limited term position.

This internship will shadow the work of our Property Management team to assist with delivery of communication to CDA housing residents and processing of applicants. This position will gain skills in database management, file processing, document imaging, and customer service.

The Dakota County CDA owns and manages 2,900 units of affordable rental housing. Our portfolio includes housing that serves youth, single households, families, and seniors. Each program has unique program requirements based on the development and funding sources. This intern will learn about affordable rental housing and the processes of lease‑up and daily management of properties.

Perform clerical duties
  • Complete filing projects.
  • Complete Agency copying projects (forms, applications, contracts).
  • Use word processing features to prepare reports, policies, correspondence, memorandums, and forms.
  • Perform general clerical duties as directed.
  • Perform Document Imaging duties as directed.
Perform document imaging functions
  • Receive files or documents according to project guidelines.
  • Prepare files and or documents for imaging by separating, sorting, and collating documents.
  • Scan documents by using provided technology and according to project guidelines.
  • Determine and assign document type.
  • Review all output images for proper sizing, resolution and overall quality.
  • Commit documents to database.
  • Reassemble files or return documents according to project guidelines.
  • Quality Control/Quality Assurance of Scanned Images/Documents
Perform agency receptionist duties
  • Greet clients and public, screen and refer to the proper department and/or staff person.
  • Answer incoming calls to main switchboard, screen and transfer calls to the correct staff member.
  • Provide program information: respond in person, through mail, email, or over the telephone to requests for information.
  • Assist customers with applications and forms.
  • Enter, retrieve, and assess data from computer systems to investigate and verify information.
  • Provide information and referral resources, as needed.
  • Perform general clerical duties, as directed.
  • Operate office equipment.
Act as a positive representative of the CDA
  • Promote a positive image of the CDA to clients.
  • Develop and maintain a good working relationship with CDA employees, vendors and contractors working with the CDA.
  • Answer calls and emails within 24 business hours.
  • Handle calls or meetings with irate parties in a professional manner to diffuse the issue/conflict.
  • Abide by all CDA Board approved policies, policies prohibiting discrimination and harassment, executive communications, administrative procedures, and safety procedures established by the CDA.
  • Minimum age of 18
  • Candidates pursuing degrees in administration, business, and property management are ideal candidates for this position.
  • Must have a valid driver’s license.
Ability to:
  • Handle difficult situations in a professional manner when dealing with the public and agency employees.
  • Communicate both orally and in writing.
  • Work independently.
  • Work under pressure and with interruptions.
  • Be flexible.
  • Learn or skill in the ability to operate phone or switchboard systems.
  • Learn or skill in the use of the keyboard and the ability to type and enter data accurately.
  • Respect privacy and confidentiality of others.
