Housing Administrator

Position

Description:

This position oversees the daily operations and coordinates projects for Residential Life, Facilities, and Housing Properties. The Housing Administrator is supervised by the Associate Director of Residential Life and the Coordinator of Housing Properties and works collaboratively with staff in both units.

Responsibilities

Business Operations & Process Management (40%)

  • Coordinate Housing Property communication and customer service. Serve as the primary university point of contact for Pillsbury Court (PC) and the West Bank Townhouses (WBTH).
  • Assist with marketing of PC and WBTH. Ensure high occupancy is maintained.
  • Manage the PC and WBTH application, move‑in, leasing, and vacate processes.
  • Manage the verification process for PC and WBTH applicants to ensure they qualify for residency in requested property.
  • Design, implement, and evaluate protocols and processes regarding PC & WBTH resident lifecycle and other areas as needed.
  • Develop and coordinate monthly electronic communication to tenants.
  • Fosters communication within the department and University, as well as with external constituents.
  • Collaborates with other departmental administrative staff on process improvements.
  • Establishes, maintains and ensures compliance of day‑to‑day operational procedures for the Central HRL office.
  • Actively looks for ways to improve departmental processes to gain efficiencies and effectiveness.
  • Maintain a working knowledge of departmental processes for business operations.
  • Manage the ordering, inventory and distribution of uniforms for departmental student employees and professional staff.
  • Coordinate Central Housing office supply inventory and manage requests to ensure financial stewardship.
  • Manage Residential Life and some departmental events, including invitations, room reservations and food.
  • Monitor shared email inbox for the department, respond to and triage emails to staff throughout the department.

Administrative Support (20%)

  • Anticipates, plans, and oversees various administrative operations of the department.
  • Coordinate interview schedules and paperwork for professional staff searches within Residential Life.
  • Coordinate elements of student staffing and training processes.
  • Create reports for student behavior and student staffing processes.
  • Provide assistance for all Residential Life processes and messaging.
  • Provides training to new staff on HRL operational procedures and processes.
  • Process employment paperwork and bi‑weekly payroll for student staff within Residential Life.
  • Serve as administrative back up to the Senior Housing Administrator including payroll processing.
  • Manage the use and organization of Central Housing storage areas.
  • Manage the inventory and check‑out/in processes for equipment and resources within Central Housing.

Project Support (20%)

  • Manages and participates in special projects and initiatives as they occur.
  • Researches and analyzes project elements for various initiatives, reports and presentations. Reports findings and provides recommendations.
  • Oversees housing related data and maintains a resource of where data is located.
  • Assists in the compilation and dissemination of information from annual surveys conducted by HRL.
  • Gathers and compiles information/data and conducts research on a variety of housing related topics.
  • Develops, tracks, coordinates, and implements special projects and reports as requested.
  • Leads/facilitates and serves on ad‑hoc departmental committees as requested.
  • Coordinates administrative follow‑up and task management on various projects/initiatives.
  • Identifies and implements efficiencies utilizing standard project management tools (i.e. Lean/Six Sigma) methodologies.

Technology (15%)

  • Manage updates for all Housing Properties and Residential Life web pages on the Housing & Residential Life website.
  • Facilitate Residential Life related requests for department Digital Display boards.
  • Coordinate central Residential Life and Housing Properties Salesforce responses.
  • Maintains and enhances organized record keeping of administrative documents within the HRL Shared Drive and the Google Drive areas. Manage and maintain all data and files associated with PC and WBTH. Provide…
