The Risk Compliance Coordinator works within the Accounts Receivable and Credit Department. This position is the primary team member responsible for maintaining customer insurance information in the Certificate of Insurance database. This position requires a high attention to detail to ensure that customer insurance coverages are reflected timely and accurately. This position also requires excellent communication skills – both written and verbal, as the Risk Compliance Coordinator will need to work cross-functionally with the Sales team, the Accounts Receivable/Credit team, as well as directly with external customers and their insurance agents/brokers.
Communication with customers includes following up on expiring insurance policies as well as resolving issues with insufficient, incorrect, or incomplete coverage information. This position also performs other duties, such as inputting customer insurance information during the customer setup process.
- Communicate and coordinate with customers and their insurance brokers to obtain updated customer certificates of insurance (COIs) and review to ensure proper coverages, limits and additional insured language is present
- Monitor the Hogan insurance email inbox and respond timely to incoming emails, including insurance overrides
- Enter/update current customer insurance information in system
- Scan and enter the customer COI into the document imaging tool
- Evaluate and respond to Insurance Override Requests from the Rental Sales Team
- Contact customers and/or their agents/brokers when COIs are incorrect, incomplete, or inadequate based on Hogan requirements and obtain corrected COIs
- Escalate to management and the sales team when customers or their agents are not responsive to our requests for updated/corrected COIs;
Escalation must be timely to ensure enough time to rectify the issues before the policy expires - Monitor the Red Button Report daily, which lists all customer insurance policies approaching expiration
- Obtain Commodity Forms from customers to ensure commodities being hauled in Hogan equipment are acceptable with Hogan’s insurance carrier
- When necessary, obtain pre-approval from Hogan’s insurance carrier and document in the COI tool
- Assists with customer master data maintenance, including new account setup
- Other duties as required
- Proficient with Microsoft Office Suite, Including Office 365 (specifically Outlook, Excel, Word, and Share Point)
- Excellent oral and written communication skills
- Ability to work independently and in a team environment
- Self-motivated with a desire to grow and develop
- Strong organizational skills, attentive to detail, accurate and efficient
