Position Summary: This Medical Assistant II position is based in the Division of Musculoskeletal (MSK) Physical Medicine & Rehabilitation (PM&R) and focuses on supporting outpatient MSK care. The MA II works with a high-performing clinical team specializing in conditions affecting bones, joints, muscles, and nerves. The role supports efficient clinic operations by preparing exam rooms, assisting with procedures, coordinating care, and providing patient support throughout visits.
PrimaryDuties & Responsibilities
Patient Care Duties:
- Interact directly with patients in a clinic setting and perform clinical tasks, including obtaining vital signs, conducting EKGs, completing phlebotomy, and verifying medications.
- Prepare for office hours by obtaining charts, scheduling tests, and preparing exam rooms.
- Assist with examinations, procedures, and lab tests.
- Assist with renewal and authorization of non-narcotic medications per standing orders and department guidelines.
- Administer medications under physician or nurse practitioner order (including vaccines and intramuscular and subcutaneous injections).
Communication and Documentation:
- Direct patient flow, assist with special procedures/treatments, and complete requisitions.
- Route phone messages, patient questions, and telephone communications to appropriate personnel.
- Assist with care coordination by performing tasks outlined in department guidelines, such as calling patients with test results, scheduling appointments, assisting with return calls, scheduling surgeries, diagnostic procedures and admissions, and monitoring new and returning patient contacts, including scheduling of follow-up appointments.
- Complete necessary paperwork and documentation in a timely manner.
- Answer basic questions from patients/families regarding treatments, diagnosis, and procedures.
- May complete requisitions/orders per University guidelines.
Equipment and Supplies:
- Monitor supply inventory to ensure adequate supplies, equipment, or garments are available and compliant with regulations.
- Clean and stock exam rooms and sterilize instruments.
Other Functions:
- Maintain HIPAA compliance, maintain skills/competencies, and participate in in-services, staff programs, continuing education, and cross-training programs per established standards and policies.
- Comply with OSHA, state and federal regulatory standards.
- Participate in quality improvement activities to ensure appropriate clinical outcomes.
- Perform other duties as assigned.

Required QualificationsEducation: High school diploma or equivalent certification or combination of education and/or experience.
Certifications:
The following certifications may be required; more than one credential may be needed depending on the role. Assessment Based Recognition (A ) - AAMA, Basic Life Support - American Heart Association, Basic Life Support - American Red Cross, Certified Clinical Medical Assistant (CCMA) - NHA, Certified Medical Assistant (CMA) - AAMA, Licensed Practical Nurse (LPN), Registered Medical Assistant (RMA) - AMT, Registered Nurse (RN) – IL/MO licensing;
substitutions include nursing program graduate or allied health training with relevant experience. Proof of MA certification/registration with successful completion of certification exam within six months of hire may be required. Online proctored exams alone are not sufficient for meeting credential requirements.
