Job Summary

The Finance Coordinator helps support the financial operations of the District. This role oversees accounts receivable, payroll, and employee benefits. In alignment with auditor recommendations, the position provides a clear separation of duties within the Finance Office by distributing responsibility for key financial functions—such as payroll processing, benefits administration, and revenue collection—across multiple roles.

Terms of Employment: 12 months

Essential Functions Payroll Administration
  • Oversee the accurate and timely processing of payroll for all district employees.
  • Ensure compliance with federal and state payroll laws, including FLSA, IRS, and Social Security regulations.
  • Review payroll reports and resolve discrepancies.
  • Implement procedures for payroll tax reporting, garnishments, and wage assignments.
  • Collaborate with HR on salary schedules, leave balances, and employment contracts.
  • Research employee payroll inquiries or answer questions through the ticketing system.
  • Assist with annual merits, increases, special and retroactive calculations.
Benefits Administration
  • Administer employee benefits programs, including health insurance, dental, vision, life insurance, and retirement plans.
  • Coordinate open enrollment processes and communicate benefit options to staff.
  • Ensure timely and accurate reporting to insurance providers and benefit carriers.
  • Stay current on laws affecting employee benefits, including ACA and COBRA requirements.
  • Work with HR to resolve employee benefit concerns and questions.
Accounts Receivable
  • Assist with monthly bank reconciliation.
  • Oversee the billing, collection, and recording of all incoming district revenues.
  • Ensure timely invoicing for tuition, facility rentals, grants, and other sources.
  • Monitor receivable accounts and follow up on outstanding balances.
  • Reconcile deposits and maintain accurate records of all incoming funds.
Leadership & Information Systems Support
  • Provide technical and system support for all finance-related software, including payroll, time & attendance, accounting, budgeting, and purchasing systems.
  • Coordinate with the IT department and software vendors to troubleshoot issues, resolve system errors, and maintain system functionality.
  • Assist with system updates, testing, and implementation of new modules or applications.
  • Develop and maintain finance system reports, queries, and data exports to support audits, compliance, and financial decision‑making.
  • Train Finance Office staff and end‑users on system features, updates, and best practices.
  • Monitor data integrity and identify discrepancies across finance systems, ensuring accurate and reliable financial information.
  • Collaborate with school leaders and departments to provide financial support and training.
  • Serve as a point of contact to school principals and department heads on financial procedures, budget management, and fiscal best practices.
  • Assist in the preparation and presentation of financial information.
  • Other duties as assigned by the CFO.
Qualifications
  • Accounting and Human Resource experience a plus.
  • Understand payroll process and have a working knowledge of wage & hours laws.
  • Familiar with federal, state, and local taxes.
  • Experience in administration of any Time & Attendance system.
  • Exemplary customer service skills.
  • Must possess strong attention to detail, and have above‑average analytical skills and organizational skills.
  • Basic office skills and abilities, knowledge of standard office equipment and software including Google Docs, Word, Excel, Adobe Acrobat, PowerPoint, and ability and willingness to learn new and/or proprietary applications as required.
  • Excellent oral and written communication skills in English.
  • Ability to multi‑task and prioritize assignments under high pressure in a fast‑paced environment.
  • Willingness to work overtime if needed.

Salary range 75K-108K (Based on experience)
