Overview
Receptionist
Job Summary:
To work under the direction of the Office Manager and Administrator while performing day-to-day receptionist and clerical duties in accordance with current Federal, State, local and facility regulations, guidelines and standards.
Receptionist
Qualifications:
- Must be able to read, write and speak the English language.
Receptionist Shift: M-F (7:30 am to 4:00 pm)
DutiesDuties, include but are not limited to:
- Follow all facility and departmental policies, guidelines and directives when performing tasks and using equipment and supplies.
- Answer the phone, direct calls and take messages.
- Greet visitors and provide directions to specific locations within the facility, as needed.
- Order office supplies and other departmental materials as assigned.
- Monitor the activities of residents going in and out of the front door exit. Direct and/or escort those residents who need supervision back to their rooms or the nurse’s station, as needed.
- File resident, employee and business records, as directed.
- Complete departmental copying assignments as received.
- Assist with handling the mail in the following areas: mailing care plan letters, quarterly resident trust letters, rehab letters to physician’s, receiving the mail and delivering to the appropriate departments for processing.
- Handle potential applicant inquiries by informing callers of available positions, giving and receiving applications and notifying department heads of potential applicants in the building (in case they want to interview the applicant immediately).
- Maintain and update resident room board in lobby area.
- Cooperate with other personnel to be sure resident care comes first.
- Report resident incidents and accidents to the nurse immediately. Do not move the resident until a nurse can assess for injury. Supervisory staff may request a written statement regarding any observations of incident.
- Report personal injuries to the Office Manager, or designee, no matter how minor they seem.
- Report any suspected or observed resident abuse to the Administrator, or designee, immediately. This includes: resident-to-resident, staff-to-resident, and visitor-to-resident. Any abusive behavior exhibited by a resident to a staff member or visitor should be reported to the nurse for appropriate follow-up.
- Observe and report needed repairs and service issues, such as broken, defective, or lost equipment and environmental issues.
- Attend all departmental meetings and/or in-services as required. Responsible for obtaining any information provided at a missed meeting/in-service.
- All other duties as assigned by supervisors.
