We have teamed up with one of the largest outside electrical contractors delivering electric infrastructure services to utility, industrial, commercial, governmental, renewable, energy storage, and EV charging customers in need of an Office Manager in the St. Louis, MO area.
Position SummaryOur client is seeking a highly organized, detail-oriented, and solutions-driven Office Manager to oversee daily administrative operations supporting utilities projects and regional business functions. This role requires strong working knowledge of office operations including HR administration, payroll coordination, accounts payable (AP), and accounts receivable (AR).
The Office Manager will serve as the operational backbone of the office—ensuring compliance, financial accuracy, workforce coordination, and smooth day-to-day business continuity.
Key Responsibilities- Oversee and manage daily office operations and administrative workflows
- Maintain organized filing systems (digital and physical)
- Coordinate office supplies, vendor services, and facility needs
- Serve as the primary point of contact for internal office inquiries
- Support onboarding and offboarding processes
- Maintain employee records in compliance with company and regulatory requirements
- Coordinate payroll processing and timekeeping accuracy
- Assist with benefits administration and employee documentation
- Ensure adherence to company policies and employment standards
- Process vendor invoices accurately and timely
- Match purchase orders, receipts, and invoices
- Maintain vendor files and payment schedules
- Resolve billing discrepancies with vendors
- Support month-end closing processes
- Generate and distribute client invoices
- Monitor outstanding balances and follow up on collections
- Reconcile accounts and resolve payment discrepancies
- Maintain accurate AR aging reports
- Assist leadership with financial tracking and reporting
- Support budget monitoring and expense management
- Prepare administrative and financial reports as requested
- Other duties as assigned.
Required:
- 3–5 years of experience in office management, business administration, or similar role
- Working knowledge of HR administration, payroll processes, AP, and AR
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- High attention to detail and accuracy
- Experience in utility, construction, or field operations environment
- Familiarity with payroll systems and accounting software.
- Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field

- Occasional standing, walking, bending, or reaching as needed within the workspace.
- Ability to lift and/or move office materials or equipment up to 25 pounds on an occasional basis (such as files, boxes of supplies, or small office equipment).
- Ability to work in a seated position while multitasking across multiple computer systems and screens.
- Ability to perform repetitive motions, including typing and data entry, for prolonged periods.
- Starting at $58k annually (based on experience)
