Warranty Specialist

Our client, a well-established HVAC distributor in St. Louis City
, is hiring a Warranty Specialist who enjoys solving problems and getting customers the right parts—fast. If you like being the person who brings order to chaos (and can spot a wrong part number from a mile away), this one’s for you.

• Monday–Friday | 8:00 AM–4:30 PM

• Respond to warranty and parts inquiries via phone and email
• Verify correct replacement parts using serial/model/part numbers and item descriptions
• Process warranty claims per manufacturer/OEM guidelines and gather required documentation
• Create and manage sales orders, returns/RMAs, backorders, and order corrections in an ERP system
• Track and follow up on open claims/cases to ensure timely resolution
• Communicate warranty decisions, credits, replacement procedures, shipping info, ETAs, and backorder status
• Coordinate with internal teams (
  warehouse/purchasing
  ) to ensure accurate fulfillment and resolve damaged/incorrect shipments
• Maintain accurate documentation with strong attention to detail (especially part numbers
  )

• 2+ years of experience in one or more of the following: warranty administration, parts support, counter/parts desk support, order entry, or customer service
• Strong communication, problem-solving, and follow-through
• Comfortable reading technical identifiers (model/serial numbers, product specs)
• Proficiency with Microsoft Office (Outlook/Excel)
• ERP/order entry experience preferred

• HVAC product knowledge (helpful,
  not a deal breaker
  )
• Experience processing manufacturer warranties
• Experience supporting contractors/technicians/installers

• Fully on-site role with a mix of desk work and coordination with warehouse/counter functions
• Occasional lifting up to 25 lbs and ability to climb a ladder as needed
