Responsibilities- Administrative Assistant I Responsibilities:
Provides office and administrative support within a substance use treatment and behavioral healthcare environment, serving as the first point of contact for clients, staff, and visitors. This role requires professionalism, attention to detail, and a compassionate approach that aligns with Trauma-Informed Care principles. - Receives and screens visitors and telephone calls, and notifies appropriate personnel, or records messages.
- Deliver exceptional customer service by responding promptly, professionally, and accurately to customer inquiries, ensuring a positive and solution-focused experience.
- Composes and types materials including correspondence, memos, forms, tables, records and charts; proofreads and edits final draft materials for accuracy, consistency and clarity.
- Compiles data from various sources and prepares regular summary reports for supervisors to monitor income, expenses and contract compliance.
- Administers or processes routine financial transactions such as petty cash, bank deposits, receipts, ledgers, client funds, etc.
- Assists in processing billings by logging and coding treatments and services, recording treatment hours, or entering required information into records and databases.
- Maintains record keeping and filing systems for clients, personnel, payroll, attendance, purchase orders, and related records.
- Completes requisitions for approved office supplies and inventory; processes receipts and invoices for expenditures and obtains necessary authorizations for payment.
- Schedules meetings and appointments; makes routine travel arrangements as directed.
- Serves as administrative liaison between program/department and central offices; exchanges information related to operations, budget, payroll or personnel issues.
- Performs general office duties such as photocopying, mail distribution, inventory, time cards for payroll, meeting minutes, and related tasks.
- Provides client services as needed, including assisting with forms, verifying funding or insurance coverage, maintaining case files and scheduling appointments.
- High School Diploma or GED
- One year of administrative, clerical or office operations experience
- Trauma-Informed Care awareness with compassionate interaction
- Ability to communicate and exchange information
- Ability to respond to telephone inquiries and proofread data
- Ability to use keyboard and display terminal to enter and retrieve information
- Ability to pull, lift and transport files and documents
$18-20/hour. Gateway Foundation conducts annual reviews including merit increases.
