We are seeking a detail-oriented and proactive Regional Assistant to join our St. Louis team
. This is a dynamic office-based role focused on accounting, administrative support, and customer service that keeps the regional office running smoothly and ensures franchisees and clients receive the highest level of support.
As the backbone of the regional office, you’ll play a critical role in managing financial processes, setting up customer accounts, responding to client needs, and assisting the Regional Director with day-to-day operations. Your ability to stay organized, solve problems, and communicate professionally will be key to supporting the growth and success of our St. Louis region.

Position SummaryThe Regional Assistant is responsible for delivering financial, administrative, and customer support functions that keep the St. Louis regional office running smoothly. In this role, you’ll manage billing and receivables, set up customer accounts, respond to client and franchisee needs, and support the Regional Director with day-to-day operations and special projects.
Success in this position requires strong organizational skills, attention to detail, and the ability to balance accounting tasks with administrative responsibilities. You’ll play a critical role in ensuring efficient office operations while maintaining a professional and responsive presence for clients, franchisees, and internal teams.
Key Responsibilities- Manage accounts receivable by processing invoices, applying payments (ACH, credit card, check), and reconciling accounts.
- Monitor aging reports, follow up on outstanding balances, and support the Regional Director in achieving collection goals.
- Maintain accurate billing records and ensure compliance with company financial procedures.
- Set up new customer accounts and ensure accurate documentation and onboarding.
- Log and track customer complaints, coordinating with operations for timely resolution.
- Maintain organized franchisee files, reports, and performance records.
- Serve as a professional and responsive point of contact for clients and franchisees via phone, email, and in-person.
- Support the Regional Director with scheduling, reporting, and day-to-day office needs.
- Order supplies, manage vendors, and ensure the office is fully equipped to support staff and franchisees.
- Draft correspondence, prepare reports, and update records to support office operations.
- Assist with organizing regional meetings, events, and training sessions.
- Coordinate special projects and assignments by setting objectives, tracking progress, and collaborating with team members.
- Provide administrative and logistical support for regional initiatives and corporate directives.
- Contribute to a positive, team-oriented office culture by supporting communication and collaboration across departments.
- 2+ years of experience in accounting, administrative, or office support
- Proficiency in Microsoft Office (Excel, Word, Outlook) and general office software
- Knowledge of cash application, invoicing, billing, and collections
- Strong organizational skills with attention to detail and accuracy
- Ability to multitask and prioritize in a fast-paced office
- Excellent customer service and communication skills (verbal and written)
- Professional, articulate phone presence with strong follow-up skills
