Administrative Project Accountant
ABNA Corporation is seeking an experienced and proactive Administrative Project Accountant in Burr Ridge, IL to support project financials and operational functions for our Chicago/Burr Ridge office. This role includes preparing project billings, handling AP/AR, supporting payroll coordination, and assisting Project Managers with financial tracking. The ideal candidate has strong accounting skills, excellent administrative capabilities, and the ability to manage multiple deadlines in a fast‑paced technical environment.
Responsibilities- Prepare project invoices, billings, and financial reports.
- Set up new clients and projects in accounting systems.
- Maintain project documentation, including expenses, subconsultant invoices, contracts, and change orders.
- Partner with Project Managers to ensure accurate and timely billings.
- Research unbilled project issues and resolve discrepancies.
- Process accounts payable and accounts receivable.
- Review and route vendor invoices for approval and payment.
- Verify and record payments and deposits.
- Support month‑end activities such as reconciliations and reporting.
- Compile and assemble confidential financial and project records.
- Prepare written correspondence and professional emails.
- Organize and schedule meetings, travel, and department activities.
- Maintain accounting and project filing systems (digital and physical).
- Coordinate photocopying, scanning, printing, and document assembly.
- Order and track office and project supplies.
- Manage incoming and outgoing mail.
- Serve as a liaison with internal teams and external partners.
- Assist with special projects involving research, data consolidation, and report preparation.
- Associate degree required;
Bachelor’s degree preferred. - 2+ years progressive accounting experience (project accounting preferred).
- Experience with A/P, A/R, general ledger, and financial reporting.
- Working knowledge of payroll processes.
- Proficiency with Microsoft Office (Excel, Word).
- Experience using accounting software such as Quick Books, Ajera, or Deltek preferred.
- Strong analytical and mathematical ability.
- Exceptional attention to detail and organization.
- Ability to handle confidential information with discretion.
- Strong communication skills and demonstrated ability to juggle multiple priorities.
This is a full‑time, in‑person position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Physical DemandsThis is largely an office role; occasional out‑of‑office may be necessary, requiring the ability to sit for extended periods, lift files, open filing cabinets, bend, stand or walk as necessary both in the office and at offsite locations.
