Jenkins Bagley Sperry PLLC is seeking a highly motivated and detail-oriented Collections Manager to manage the collection department that is in charge of collecting on past-due homeowners association (HOA) assessments and related charges owed to our association clients. This role is essential to support our HOA clients by ensuring consistent, compliant, and professional collection efforts while maintaining appropriate homeowner relations.

Responsibilities

HOA Collections

  • Manage the collection of past-due HOA assessments, fees, fines, and related charges on behalf of the firm’s association clients.
  • Communicate with homeowners regarding delinquent accounts via phone, email, and written correspondence.
  • Explain balances due, payment deadlines, and available resolution options in accordance with governing documents and applicable law.
  • Negotiate and establish payment plans when authorized and appropriate.
  • Monitor compliance with payment plans and follow up on missed or late payments.
  • Coordinate with attorneys to escalate collection matters, including pre-litigation and litigation referrals, when necessary.

Client & Attorney Coordination

  • Work closely with attorneys, paralegals, and association clients to ensure collection efforts align with client direction, governing documents, and legal requirements.
  • Provide status updates and reporting on delinquent accounts to attorneys and clients as needed.
  • Assist in improving and standardizing collection workflows and procedures.

Documentation & Compliance

  • Maintain accurate and thorough records of homeowner communications and collection activity.
  • Ensure all collection efforts comply with applicable state and federal laws, ethical rules, and firm policies.
  • Prepare and track collection notices, demand letters, and related correspondence.

Professional Communication

  • Serve as a professional point of contact for homeowners regarding past-due HOA balances.
  • Handle difficult conversations with professionalism, tact, and consistency.
  • Balance effective collection efforts with appropriate customer service standards.

Systems & Confidentiality

  • Utilize the firm’s case management and billing systems to track delinquent accounts and activity.
  • Handle sensitive financial and personal information with strict confidentiality.

Qualifications

Experience

  • Prior experience in collections or accounts receivable is required.
  • Experience with HOA, property management, or community association collections is strongly preferred.
  • Law firm or professional services experience is a plus.

Skills

  • Strong written and verbal communication skills.
  • Confident and professional negotiation abilities.
  • Excellent organizational and time-management skills.
  • Ability to manage a high volume of accounts independently.
  • Proficiency in Microsoft Office Suite; experience with legal or HOA management software is a plus.
