Job Description
This position is responsible for timekeeper functions and schedule generation/maintenance for a group of employees through proficient use of workforce timekeeper and workforce scheduling applications. The incumbent utilizes excellent problem‑solving and customer‑service skills to ensure effective staff scheduling and accurate timekeeping. The Coordinator incorporates broad knowledge of departmental, facility, region, and industry practices, policies, and programs, supporting multiple managers and departments and assisting department managers with ongoing staff education pertaining to scheduling and timekeeping processes.

ScopeThis is a regional/facility based role that works independently with limited supervision, acting on own initiative and direction. Typical ratio: 1 Scheduling Timekeeping Coordinator to 350 staff.
Job Essentials Timekeeper- Regularly reviews and updates payroll system entries for assigned departments, including entering missed punches, PTO, FMLA, premiums, etc.
- Meets all deadlines for payroll processing and reports any discrepancies, unusual or questionable time entries to appropriate supervisors, Human Resources, or Payroll Coordinator.
- Makes sure to maintain knowledge of payroll policy and law through training and policy review.
- Obtains approval for, and documents, all additions, deletions, corrections, etc., retaining all required documentation and ensuring accurate recording.
- Works directly with department managers on schedule development, defining baseline needs, required skills or certifications per shift, and number of lead or senior staff per shift.
- Releases preliminary shift template to department staff within a defined time frame to allow for self‑scheduling; finalizes schedule after self‑scheduling period and submits to manager for approval.
- Reviews requested changes to schedule (shift swaps, PTO, etc.) for appropriateness and forwards to manager for approval as necessary. Maintains staffing and scheduling information daily.
- Communicates and coordinates timekeeper and scheduling activities with managers and staff clearly and concisely.
- Thoroughly and accurately completes all actions related to timekeeper and scheduler functions.
- Investigates and resolves customer concerns accurately and effectively.
- Uses staff scheduling systems accurately to meet job expectations.
- Acts as contact person for staff and manager on questions/issues related to timekeeping and scheduling applications.
- Stays current with new software enhancements and upgrades through ongoing continuing education.
- Three years of customer service or office experience.
- Experience with computer data entry and troubleshooting.
- Experience with word processing and spreadsheets.
- Demonstrated interpersonal and problem‑solving skills.
- Demonstrated effective verbal and written communication skills.
- Bachelor's degree from an accredited institution (degree will be verified).
- Experience with timekeeping processing.
- Experience with scheduling applications.
- Ability to verbally communicate and understand spoken information.
- Ability to operate computers, telephones, office equipment, including manipulating paper requiring the use of fingers and hands.
- Good vision and hearing for reading computer monitors and documents.
- Ability to remain sitting or standing for long periods of time while performing work on a computer, telephone, or other equipment.
