ResponsibilitiesThis is an independent accounting position with high-level duties for FDOH-SJC.
- Receive, review and prepare all invoices for payment in accordance with policy, verifying receipt of goods/services and attaching proper documentation.
- Input invoices and journal transfers into appropriate systems; call vendors to charge qualifying invoices to purchasing card.
- Manage and complete encumbered and unencumbered disbursements in appropriate system(s).
- Complete appropriate processes for documentation scanning.
- Monitor encumbrance balances and adjust as necessary.
- Process requests for duplicate warrants and warrant cancellations.
- Process appropriate salary refunds.
- Manage and complete disbursement adjustments and corrections and necessary journal transfers as needed or requested.
- Ensure compliance with FDOH prompt payment, accounts payable, and cash handling policies and procedures (DOHP 56-29-18, IOP 56-23-17, DOHP 57-07-17).
Reconcile daily cash drawers for all cashiers and prepare daily bank deposits. Maintain credit card and electronic receipt spreadsheets.
Process and submit vouchers and invoices appropriately; manage voucher packets required for pre‑audit and resolve any issues from the Department of Financial Services.
Serve in the Accountant or Approver role for the FDOH-SJC Purchasing Cards approval process. Ensure proper coding and documentation for all transactions and coordinate with staff to resolve any discrepancies.
Perform other duties as assigned.
Knowledge, Skills, and Abilities- Knowledge of Microsoft Office products and general accounting principles.
- Skill in basic mathematics, customer service, computer usage, and organization.
- Attention to detail.
- Effective communication skills.
- Critical thinking and problem‑solving ability.
- Within six months, proficiency in FDOH‑SJC online accounting systems.
Valid driver’s license.
May be required to work before, during, or after normal hours in emergency situations; must work daily in‑office or field as required.
