NMC is currently recruiting a Surgical Scheduler in Northwestern Associates in Surgery. The position is full-time (80 hours bi-weekly), generally M-F 8a-4:30p. Hourly Range: $17.50 USD to $24.88 USD

Job Summary

The Surgical Scheduler must schedule the operating room and ambulatory surgical procedures consistent with the patient’s diagnosis and procedure request. This role requires familiarity with medical terminology and some clinical knowledge to schedule appropriate procedures/surgeries per provider’s orders. Excellent customer service skills with patients, employees, and the public are essential. The Scheduler must respond to written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner, and manage a demanding workload in a busy environment with precision.

Pre‑requisites

Education: High school graduate or GED, medical terminology.

Experience: 1‑3 years in a healthcare setting, preferably with scheduling experience and a demonstrated record of customer service success.

Strong reading and writing ability, computer proficiency, extreme organization, and meticulous attention to detail.

Scope

Machinery or Equipment Used: Computer, phone

Physical Demands: Prolonged sitting, lifting up to 10#, prolonged computer and telephone work.

Working Conditions: Indoor office environment, noisy with frequent interruptions; may encounter angry or frustrated patients.

Required Protective Equipment: Face mask, face shield, eye protection, gloves, and adherence to social distancing guidelines.

Essential Functions
  • Manage all surgeons’ clinic and OR time to maximize efficiency and utilization of block time.
    • Ensures maximal efficiency in both group clinic and OR block time.
    • Follows guidelines for requesting additional OR or OPD time.
  • Coordinate and schedule necessary pre‑op testing, consults, surgical services screens, post‑op visits, and physical therapy or other ancillary services.
    • Coordinates diagnostic and imaging tests to ensure maximum efficiency.
    • Interfaces with hospital staff to maintain cohesive patient care.
    • Ensures all requirements are met at least 72 hours before surgery.
  • Apply critical thinking and excellent verbal and written communication skills.
    • High level of interpersonal skills.
    • Accurately enters information in the electronic medical record.
    • Ensures proper documentation of informed consent for procedures and surgeries.
  • Educate patients on pre‑ and post‑op processes, appointments, and follow‑ups.
    • Serves as primary contact for patient/family questions about surgery.
    • Provides detailed information on test preparations, arrival times, and other directions; follows up on patient queries.
    • Confirms patient insurance and obtains prior authorization or communicates the need to relevant parties.
    • Ensures patients receive necessary medical clearance and pre‑surgical testing.
    • Completes pre‑procedure phone calls and confirms appointment times.
    • Reviews discharge instructions and schedules appropriate follow‑up appointments.
  • Contact vendors and arrange for all necessary equipment and supplies to be onsite for day of surgery.
  • Qualifications

    Education, experience, and certifications as outlined above, with a strong background in healthcare scheduling and customer service.
