O’Brien Interiors Group is seeking an organized and results-oriented Project Coordinator to join our team. In this role, you will assist the Executive Vice President (EVP) in reaching successful project milestones and managing business functions by collaborating with key field staff and project teams.

Location & Travel: This position works in both an office setting and in the field on a regular basis. You must be willing to travel to project sites as needed to provide on-site support.

Role Overview

The Project Coordinator is responsible for organizing, communicating, and completing key initiatives that keep our projects on track. You will serve as a bridge between leadership, the project team, and HR, ensuring that administrative and financial workflows are seamless.

Responsibilities
  • Executive & Project Support: Assist the EVP in tracking company, project, and team initiatives. Complete Project Binders and manage PCA coordination, including budget tracking for approval.
  • Financial & Compliance: Conduct COI and Speed Chain audits; contact contractors for missing information; manage new vendor set-ups; and handle project closeouts through Accounting, HR, and the Project Team.
  • Safety &

    Risk Management:

    Compile monthly safety audits and notify teams of off-track requirements. Partner with the Safety department to ensure compliance with Federal and State rules. Manage PPE inventory.
  • Onboarding & Development: Assist with new hire orientation and setup, including orientation plans, communication with leaders, and organizing new hire luncheons and gifts. Track training progress through Relias.
  • Office Management: Manage office supplies, kitchen items, and team lunches. Coordinate with the cleaning crew to maintain the workspace.
  • Administrative Excellence: Create professional PowerPoint presentations, Excel documents, and other reports using industry best practices and technology.
  • Professionalism: Communicate and uphold the Company’s commitment to core values, Integrity, and Code of Ethics.
  • Versatility: Solve problems as they arise and perform all other duties as assigned.
Qualifications & Abilities
  • Experience: 2–3 years in the construction or office management field.
  • Credentials: Valid driver’s license is required.
  • Soft Skills: Creative and results-oriented with a strong sense of urgency. Excellent problem-solving skills and a flexible, adaptable style.
  • Technical Knowledge: Proven organizational skills and a working knowledge of OSHA safety requirements.
  • Physical Requirements: Ability to sit or stand for extended periods. Ability to work in field environments with exposure to elements, loud noises, and uneven ground.
