Document Control Program Analyst

Location: Sacramento, CA

Position Summary

The Document Control Program Analyst supports analytical, documentation, coordination, compliance, and reporting functions within a Document Control Unit. The role helps maintain documentation systems and workflow consistency, supports operational readiness aligned to document control standards, and contributes to internal reporting, dashboards, and process documentation.

Key Responsibilities

• Provide coordination and administrative support to document control leadership and internal stakeholders.

• Prepare meeting materials, summaries, trackers, and internal reference documents.

• Maintain SharePoint resources, logs, templates, desk manuals, and repositories, ensuring version control and accessibility.

• Update and maintain workflows, forms, templates, and standard operating procedures (SOPs).

• Support documentation standards and consistency (metadata, naming conventions, and filing structures).

• Provide user support related to access and use of internal document control tools/resources.

• Maintain dashboards, workload trackers, and reporting documentation; support KPI/milestone tracking.

• Compile, validate, and summarize information for progress updates, performance reporting, and leadership communications.

• Develop/update process maps (Visio or similar) and maintain desk manuals, job aids, onboarding, and training materials.

• Support continuous improvement initiatives and process enhancements.

• Maintain an internal risk register and support compliance and audit readiness activities.

• Review incoming requests/submittals for workflow impacts and assist with summaries/briefings based on trends and workload patterns.

• Support special assignments and stakeholder coordination as needed.

Required Qualifications

• Bachelor's degree in Business Administration, Information Management, Public Administration, or related field (or equivalent relevant experience).

• Strong organizational, analytical, and written/verbal communication skills.

• Proficiency with Microsoft Office and familiarity with SharePoint and/or document management tools.

• Detail-oriented; able to manage multiple priorities with accuracy.

• Experience with process mapping tools (e.g., Visio or equivalent).

• Experience supporting projects involving document management systems and/or enterprise data solutions.

• Ability to collaborate effectively with technical teams, business users, and consultants.

Preferred Qualifications

• Experience in a similar role on at least two projects of comparable scope and complexity.

• Familiarity with tools such as Adobe Acrobat, Jira, and/or Confluence (or similar).
