A Medical Front Office Coordinator is responsible for answering phones, interacting with patients in a healthcare setting, and managing administrative tasks for the medical team. Duties include scheduling patient appointments according to doctor availability, explaining intake forms to new patients, and checking in and checking out patients, including processing patient payments. A pleasant, calm, and professional demeanor is essential, as the front office staff are the first and last people that patients interact with.
We aim to provide a high level of efficient patient care with a caring, ethical, and professional experience for patients.
- Answer phones and greet incoming patients and visitors.
- Perform patient registration and insurance verification, and collect co-pays.
- Before scheduling, check insurance and other sources to ensure coverage.
- Request and obtain medical records for patients prior to appointment date.
- Send medical records of existing patients upon request and proper authorization.
- Schedule patients for available times for the clinic, doctors, and clinical staff.
- Create and submit requests for prior approval as needed.
- Work fluidly in our EHR system (EPIC) to ensure information is accurate and complete.
- Guide patients through the process by explaining steps and answering questions and concerns.
- Coordinate with office staff for timely care of patients.
- Occasional travel to other nearby clinic locations for training and/or coverage.
- Participate in various projects and meetings, and complete other tasks as assigned by management.
- Cross-train and help coworkers as needed.
- Perform general administrative tasks and assist with special projects as needed.
- Knowledge and understanding of how medical offices operate.
- Strong experience with EHR systems, especially EPIC.
- Ability to work independently with minimal supervision.
- Strong organizational and time-management skills.
- Ability to work on multiple tasks and meet deadlines.
- Excellent communication skills.
- Detail-oriented; understanding of medical terminology.
- Be a team player.
- Must be able to communicate effectively in Spanish and English in-person and over the phone.
- Ability to work on multiple projects and meet deadlines.
- High school diploma required;
Associate degree preferred. - 1+ years in a medical office.
- Proficient in Microsoft Word, Excel, and other office software.
- Experience with EHR systems (EPIC strongly preferred).
The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job. The employee must regularly sit, stand, walk, speak, hear, use hands, handle documents, bend and stoop as needed, and reach with hands and arms. The position requires regular use of keyboard and computer. Strong vision abilities for extensive computer work.
