Job Title: Receptionist, Dental (RECPD)
Exempt/Non-Exempt: Non-Exempt
Department: Dental
Reports to: Manager, Dental Clinic
FTE: 100% (40 hours)
Position Summary: The Dental Receptionist (RECPD), reporting to the Dental Clinic Manager, is responsible for the scheduling and check-in duties of patients receiving dental services within SNAHC. This includes collecting necessary registration data for new patients and updating or correcting registration data for established patients. The Dental Receptionist will determine eligibility for public insurance programs and obtain verification of private insurance.
The position also includes communicating to patients about upcoming dental appointments and any outstanding balances that are due and must be paid before the next appointment.

- Greets and welcomes patients and guests as they arrive at the office.
- Maintains a professional attitude and appearance.
- Schedules appointments and verifies insurance and/or payment method for the appropriate department; takes and delivers messages as needed.
- Completes dental scheduling using approved templates and guidelines.
- Conducts patient screenings by assessing pain levels for emergency appointments as required by contracted insurances.
- Conducts reminder calls and screens insurance eligibility for same-day and/or walk-in appointments; notifies patients of any eligibility conflicts.
- Uses software features to maximize patient access and ensures all patients are checked in, checked out, or canceled promptly.
- Completes screening and collection of current billing coverage information daily.
- Reconciles daily cash drawer and patient payments for Patient Financial Services management.
- Ensures all information entered into the Electronic Health Record (EHR) is accurate and complete; reviews, scans, and verifies any paper documents to ensure forms are completed, signed, and corrected.
- Collects and records patient payments for services rendered, prepares deposit sheets and POS transaction reports daily, and reconciles the daily cash drawer and patient payments for dental management.
- Verifies patients have updated their patient consents and demographic information within the last 12 months and alerts the appointment appropriately for an update to occur at the clinical front desk.
- Assists patients with health insurance information, verifying eligibility (e.g., Medi-Cal, Medicare, GMC programs, private insurance) and determines appropriate copayment(s). Uses Federal Poverty Guideline as a screening tool to determine sliding scale for uninsured or underinsured patients.
- Complies with all applicable state and federal laws and regulations (e.g., HIPAA, OSHA); de-escalates irate patients as needed.
