We are seeking a Bid Coordinator to support our Estimating team by coordinating, preparing, and tracking bids to ensure they are submitted accurately, efficiently, and on time. This role works closely with the estimating department to support a fast-paced, deadline-driven bidding process.
The ideal candidate is highly organized, resourceful, and comfortable working collaboratively as part of a team. Strong problem-solving skills, attention to detail, and the ability to manage multiple priorities are essential. HVAC and plumbing field trade experience is strongly preferred and will be considered a significant asset in this role.
Responsibilities (include but are not limited to:
- Maintain and distribute and work with the bid schedule
- Update addendums, bid dates, plans, and specs as needed
- Manage incoming and outgoing communication with subcontractors
- Complete bid forms
- Prepare and organize job binders
- Assist in creation of bids
- Track all bids and ensure accuracy
Requirements:
- HVAC and plumbing field trade experience preferred, but not required
- Proficient in Microsoft Office Suite (Word, Excel, SharePoint, and Outlook)
- Be able to prioritize, multi-task, and make deadlines
- Strong communication, organization, and time management skills
- Proactive with managing project schedule, updating database, preparing project documents
- Detail-oriented and self-motivated
- Willingness to learn; seeks and responds to feedback
- Communicate clearly and effectively
- Positive, cooperative attitude; wants to see project(s) and company succeed
- High level of organization
- Ability to work well under pressure and in a fast-paced environment
