Position Summary
The Credentialing Administrative Assistant provides administrative and operational support to ensure efficient credentialing processes for licensed and certified providers, including physicians, advanced practice providers, behavioral health clinicians, RNs, LVNs, MAs, and allied health staff. This role supports documentation, tracking, communication, and regulatory compliance essential to credentialing and privileging in an FQHC environment.
Essential Responsibilities- Assist with collection, verification, and tracking of credentialing documents (licenses, certifications, DEA, CPR, malpractice, etc.).
- Maintain digital and physical credentialing files in compliance with HRSA, Joint Commission, and payer requirements.
- Support submission of credentialing and recredentialing applications to health plans, Medi-Cal, Medicare, and contracted payers.
- Update and maintain CAQH, payer portals, and internal provider rosters.
- Monitor expiring documents and send renewal reminders.
- Prepare credentialing committee packets, agendas, and minutes.
- Coordinate communication between providers, leadership, HR, and external agencies.
- Schedule meetings and manage onboarding credentialing tasks.
- Ensure compliance with HIPAA, confidentiality standards, and FQHC regulations.
- Provide administrative support including scanning, data entry, and document formatting.
- Assist with audits, reporting, and accreditation reviews.
- Adhere to infection control and High Reliability standards.
- Perform additional duties as assigned.
- High school diploma or equivalent (Associate degree preferred).
- Experience in Credentialing, Medical Staff Services, or Health Plan Operations.
- Familiarity with FQHC regulations, HRSA, NCQA, or Joint Commission standards.
- Experience with CAQH Pro View, payer portals, or credentialing software platforms.
- Prior administrative or office support experience (healthcare preferred).
- Strong organizational skills and attention to detail.
- Ability to manage confidential information with discretion.
- Proficiency in Microsoft Office and electronic document management systems.
- Effective written and verbal communication skills.
- Ability to manage multiple deadlines independently.
- Willingness to successfully complete credentialing requirements.
