Job Description and Duties
Provide clerical support and administrative support for the Supervising Transportation Programs Consultant, and the Transportation Programs Consultants. Draft correspondence, reports, charts, forms, and presentations. Coordinate meetings, workshops, and travel, including processing travel claims. Prioritize and complete work assignments such as correspondence, duplicating requests, and travel arrangements.
Maintain tracking systems for unit responsibilities, including bill analyses and the superintendent's correspondence tracking system. Manage procurement of office supplies, equipment, and subscriptions. Maintain attendance records, travel documents, and departmental records, including those related to drug and alcohol testing and personnel. Monitor and reconcile supervisor's monthly cost reports, contract expenditures, and invoices; deposit funds with the California Department of Education's (CDE) cashier's office.
Review and schedule applicants for Bus Driver Instructor, Special Needs, Instructor Refresher, and Transportation Administrators Courses. Verify driving records with the California Department of Motor Vehicles, coordinate class schedules, fill vacancies, and prepare confirmation packets. Maintain records of state-certified instructors and trainers, correspond regarding certification status, and review applicant documents for completeness.
Design computer forms, surveys, statistical charts, and presentations. Update databases and spreadsheets essential to OST operations. Perform general office duties including filing, scanning, mail processing, answering phones, and greeting visitors. Other job-related duties as required.
Limited departmental travel may be required. Possession of a valid Class "C" California Driver License is required.
