Accounts Receivable Specialist (Part-Time M-F)

Compensation: $28-$30 hourly (depending on experience) + bonus opportunity

We're looking for an organized and detail-oriented part-time Accounts Receivable Specialist to support billing, collections, and customer account management and ensuring the accuracy and timeliness of all billings & payments.
Job Description:As an Accounts Receivable Specialist, you'll be responsible for managing the company’s outstanding invoices, ensuring timely collections, and maintaining up-to-date records. Your work will directly contribute to our cash flow and overall financial health.
Billing and Invoicing- Prepare and distribute customer invoices, including progress billings and contract-based billing
- Ensure invoices are accurate and supported by project documentation
- Upload invoices to customer portals or required billing systems
- Coordinate with project managers to confirm billing amounts and timing
- Ensure approved change orders are billed promptly
- Maintain accurate customer account records including invoice history, payment status, and receivable balances.
- Apply incoming payments (checks, ACH, wires) and reconcile deposits
- Maintain and monitor accounts receivable aging reports and prepare weekly aging summaries and collection updates for management.
- Track retainage receivable and follow up for release when due
- Maintain customer-specific billing and reporting requirements
- Follow up on outstanding invoices and manage customer billing inquiries
- Escalate delinquent accounts and maintain documentation of collection efforts
- Prepare and issue preliminary lien notices when required
- Track lien waivers and ensure compliance with customer or public works billing requirements
- Manage new customer setup
- Support month-end closing activities and assist with audit preparation related to accounts receivable
- Cross-train in accounts payable tasks
- Review and process Tier 2 reporting for customers
- Maintain fuel log reports and process quarterly state refunds
- Assist with job cost reconciliation and WIP job closeouts
- Support special accounting projects as assigned
Qualifications:
- Proven experience as an Accounts Receivable Specialist or similar role
- Strong understanding of accounting principles and accounts receivable processes
- Proficient in Microsoft Word, Excel, Outlook
- Experience with accounting software (e.g., Vista Viewpoint or similar)
- Excellent attention to detail and organizational skills
- Strong communication and problem-solving abilities
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- High school diploma or equivalent required;
Bachelor’s degree in business, accounting, finance or related preferred (depending on experience) - 1-2 years minimum experience in accounting or similar
