- Classification:
Non-Aligned, 225-day schedule - Salary Range: $48,000 – $55,000 per year
The Administrative Secretary serves as a highly organized, detail‑oriented professional who supports the daily operations of the school and its leadership team. This role blends administrative coordination, student records management, financial processing, data reporting, and front office support. The Administrative Secretary works collaboratively with the Director, Assistant Director, School Counselors, District personnel, teachers, families, and partner schools to ensure accurate student information, timely financial processes, effective communication, and smooth school operations.
This position requires discretion, accuracy, initiative, strong technology skills, and the ability to manage multiple priorities in a dynamic educational environment.
- Provide administrative support to the Director and Assistant Director to ensure efficient school operations
- Assist School Counselors with scheduling, reporting, and student academic documentation
- Prepare and distribute student schedules at the start of the school year
- Generate and distribute student progress reports multiple times per year to families and partner schools
- Support year‑end processes, including credit verification, final grade reporting, and documentation for partner schools
- Manage teacher grading standards and oversee student and family access to academic reporting platforms
- Support student recruitment efforts, including application management and enrollment communications
- Assist with school events such as Back‑to‑School Nights, recruitment events, and the Year‑End Ceremony
- Coordinate annual student registration in collaboration with district personnel
- Maintain accurate student information records and ensure compliance with district and state requirements
- Manage secure storage and organization of cumulative student records (digital and paper)
- Enter approved requisitions into the accounting system and assist with purchase order processing
- Monitor purchase order status and communicate updates to staff
- Receive and document delivered goods and maintain internal budget tracking records
- Prepare and process weekly deposits for school‑based and student activity accounts
- Manage petty cash distribution, reconciliation, and replenishment
- Maintain organized storage of financial documentation and accounting records
- Coordinate student access to the school network, including creation of login credentials and
- Collect, review, and submit required student data reports to the State of Vermont Agency of Education in collaboration with school leadership
- Assist with annual updates to Faculty and Student Handbooks and manage summer communications to students and staff
- Develop and manage year‑end teacher task checklists, including inventory tracking and collection
- Attend Board meetings during school hours and prepare accurate meeting minutes
- Provide front desk coverage as needed, including managing phones, visitors, and building access
- Maintain confidentiality in compliance with Families Education Rights and Privacy Act (FERPA), exercise sound judgment, and perform additional duties as assigned to support school operations
- Maintain predictable and reliable attendance

- High School Diploma or equivalent required
- Minimum of 4‑5 years of administrative/secretarial experience required
- Proficient in Microsoft Office Programs, specifically Word, Excel, and Access
- Experience with Student Management Systems and Grading Software
- Experience with PO Processing
- Strong written and verbal communication skills
- Excellent organizational and time‑management abilities
- High attention to detail and accuracy
- Ability to manage multiple priorities in a fast‑paced environment
