Job Summary

GP Health Connect Limited is seeking to recruit an Operational Administrator to primarily provide support to the Operational Manager and assist the wider team. Staff should project a positive and friendly image to patients, staff, stakeholders and other visitors, in person or via telephone. Confidentiality is essential, and staff must ensure it is maintained. Flexibility is a key criterion for this post as services do not all run at the same time or in the same place.

Hours have some flexibility.

Our vision is to collaboratively support Runcorn GP Practices in providing reliable, value-for-money, at-scale primary care services, with equal access for all, from a variety of accessible local locations. The Runcorn PCN covers approximately 67,000 people across six practices:
Brookvale Practice, Castlefields Health Centre, Grove House Practice, Murdishaw Health Centre, Tower House Practice and Weaver Vale Practice.

The successful candidate will join a core team and will be supported by the Business Manager, Operational Manager and other team members. Regular development sessions, teaching, training and opportunities to upskill will be provided.

Job Responsibilities

This role supports the Operational Manager by providing general assistance to the GP Health Connect team. It focuses on maintaining high standards of organisation, communication and reporting to ensure operational efficiency across services. It includes deputising for the Operational Manager and projecting a positive image to patients, staff and stakeholders, in person or via telephone.

  • Deputise for the Operational Manager during periods of leave or sickness, as required
  • Generate rotas to maintain clinical, reception and administration cover
  • Supervise the reception team day-to-day and raise concerns to management as appropriate
  • Arrange cover for late notice sickness or absence (where necessary, including reception cover in person)
  • Maintain stock levels and ensure security across sites
  • Produce and share relevant documentation with practices for efficient service delivery
  • Process incoming patient results in line with company policy and report issues to management promptly
  • Generate weekly/monthly/annual reports and provide them to the management team accurately and on time
  • Perform audits and discuss remedial actions with the Operational Manager
  • Maintain staff training logs and review staff registrations and DBS checks
  • Promote and develop digital engagement as required
  • Support new service delivery initiatives
  • Work with the management team to ensure safe and effective utilisation of resources
  • Liaise with Practices and other stakeholders as required
General Support
  • Respond to requests via telephone, email or in person in a timely and effective manner
  • Communicate effectively with patients to ensure high standards of service
  • Maintain staff training logs and review staff registrations, indemnity and DBS checks
  • Support new service delivery and resource utilisation
  • Organise and optimise system administration for primary care platforms (e.g., EMIS, Blinx, Ardens, ACCURX)
  • Support social media and develop digital patient engagement
  • Maintain the organisation’s website to NHS standards
  • Organise and facilitate training sessions for GP Health Connect staff
  • Provide administration support to the Management Team
  • Liaise with practices and build effective relationships
  • Assist with complaints and incidents as required
  • Support maintenance of office facilities and professional office etiquette
