The Supervisor Clinic Operations is responsible for coordinating and supervising the day‑to‑day activities of assigned employees in the physician front office, clinics, and other operational areas that assist patients, to ensure high‑quality, patient‑centered care and compliance with established policies, procedures, and standards.

Essential Functions of the Role
  • Provides direct supervision and leadership for 5 to 10 FTEs; organizes work efficiently, ensuring continuity of service and patient satisfaction.
  • Manages appointment scheduling, billing and follow‑up, patient throughput, facilities management, and safety of employees and patients.
  • Builds teamwork and maintains effective communication with direct reports, peers, and other departments.
  • Provides subject‑matter expertise, sets standards for work quality and volume, monitors output, coaches for excellence, identifies opportunities for LEAN applications.
  • Ensures employees adhere to standards of behavior, corporate policies, and patient satisfaction standards.
  • Provides input in budget process; monitors inventory and supplies ordering.
  • Oversees compliance, training, and maintenance of applicable license and certifications.
  • Collaborates with leadership to investigate, resolve, and document patient complaints.
  • Participates in interviewing, hiring recommendations, orientation, evaluation, coaching, team building, and disciplinary actions.
  • Maintains safety of patients, families, staff during all activities.
Key Success Factors
  • Experience in healthcare or patient‑related services in physician front office, clinics, customer service, call center, or insurance industry.
  • Supervisory experience preferred.
  • Demonstrated teaching and mentoring skills preferred.
  • Excellent interpersonal skills; ability to handle difficult situations.
  • Basic understanding of the revenue cycle.
  • Professional demeanor and appearance.
  • Good problem‑solving skills.
  • Ability to make tactical decisions on allocation and direction of work.
  • Ability to make effective hiring and termination recommendations.
  • Ability to train and evaluate performance of supervised staff.
  • General computer skills (Microsoft Office, scheduling and payroll systems, EMR, email).
