Overview

Healthcare Insurance Collections Coordinator. Hybrid | Full-Time | Temp-to-Hire

The Healthcare Insurance Collections Coordinator manages the end-to-end medical insurance, prior authorization, and funding documentation process for assistive technology requests. This role performs high-volume case management, documentation review, insurance verification, collections follow-up, and customer support to ensure timely approvals, reduce denials, and maintain compliance with HIPAA, payer requirements, and internal workflows.

Responsibilities
  • Insurance Coordination & Verification
    • Conduct insurance benefit verification, coverage checks, and confirm medical necessity requirements.
    • Communicate with commercial insurance, Medicaid, Medicare, and managed care plans to clarify eligibility and authorization needs.
    • Track and follow up on prior authorizations, claims status, denials, appeals, and resubmissions.
  • Collections & Claims Support
    • Assist with claims follow-up, outstanding balances, documentation corrections, and appeal packets.
    • Research and resolve funding delays, payer requests, and missing information.
    • Support workflows that prevent authorization expirations, avoidable denials, and revenue cycle disruptions.
  • Customer & Provider Communication
    • Serve as primary contact for families, caregivers, providers, clinics, and insurance representatives.
    • Provide clear guidance on documentation requirements, authorization timelines, insurance terms, and next steps.
    • Respond promptly via phone, email, SMS, and fax.
  • Documentation & Compliance
    • Complete high-volume document collection, form processing, data entry, and case documentation.
    • Ensure all files meet payer guidelines, regulatory requirements, and HIPAA standards.
    • Prepare and send required forms prior to provider appointments; confirm appointment completion and obtain supporting documentation.
  • Systems & Workflow Management
    • Use CRM systems (e.g., Salesforce), EMR/EHR portals, and insurance portals for case updates, document uploads, and task tracking.
    • Maintain accurate case notes, status updates, and communication logs.
    • Identify process improvements, workflow gaps, and recurring insurance issues.
Qualifications
  • 3+ years in medical collections.
  • Strong skills in customer service, problem-solving, and documentation accuracy.
  • Comfortable in fast-paced, high-volume insurance and healthcare operations.
  • Proficient with Microsoft Office, CRM systems, and learning new software quickly.
  • Bachelor's degree preferred.
Schedule & Compensation
  • Full-time, Monday-Friday, 8:30am-5:00pm
  • Hybrid after training (3 days onsite / 2 remote)
  • 100% in-person training period
  • Temp-to-hire after 720 hours
  • Pay: $58,000-$62,000
