Office Administrator/ Coordinator
Basic Purpose
The purpose of this position is to coordinate social services from the Corps to potential clients. The position provides daily social service assistance, answers incoming telephone calls, greets and directs visitors during office hours, and performs additional duties as assigned.
Essential Duties and Responsibilities- Monitor and screen incoming calls, refer callers to the appropriate person/agency, and take messages as needed.
- Greet visitors and direct them to proper waiting areas while notifying specific staff when a visitor has arrived.
- Manage and maintain the stocking of the food pantry and package food boxes for client households, including oversight of volunteers.
- Receive, receipt, and log all donations, including in‑kind (GIK) and monetary donations. All monetary donations are immediately turned in to the Administration office.
- Screen clients using REACH casework guidelines and Wellsky application to create or maintain client files, identify spiritual, emotional, mental, and physical needs, provide services where possible, and refer to additional resources as needed.
- Keep accurate stats and records of all services provided through the Turbo stats application.
- Seek opportunities to link clients with corps programs.
- Assist with seasonal social service activity, such as canned food drives, Christmas, etc.
- Keep the pantry, reception area, and entry way clean and presentable.
- Other related duties as assigned by the Corps Officer(s).
- High School Diploma.
- Must be 21 years or older.
- Ability to speak and write English at a high and professional level.
- High degree of confidentiality.
- Computer literate, in Windows environment (Microsoft Office), Publisher, Access, and Microsoft Outlook.
- Excellent communication skills, both written and verbal.
- Excellent and professional telephone etiquette and presence.
- Excellent organizational skills.
- Ability to work with the public.
- Strong ability to utilize a high level of time management and handle multiple tasks.
- Class C Driver’s License.
- Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
- Ability to grasp, push, and/or pull objects.
- Ability to reach overhead.
- Ability to operate telephone.
- Ability to lift up to 25 lbs.
- Ability to operate a computer.
- Ability to process written, visual, and/or verbal information.
- Ability to operate basic office equipment and tools: PC, fax machine, telephone, calculator, copier, printer.
- Miscellaneous office equipment including but not limited to staplers, three‑hole punch, etc.
