Position: Traveling Receptionist (31289)

Exam Works is looking for a Traveling Medical Receptionist to join our team!

The Traveling Receptionist reports to the designated office locations and performs a variety of functions to ascertain and organize examinee information and provides support to staff and physicians as needed. Position greets and welcomes visitors and completes check-in of all examinees. This position serves as the liaison between examinee and staff, ensures all confidentiality measures are upheld and oversees the lobby at all times.

This position acts as assistant to the Clinic Director in addition to normal clinic duties.

This is a full-time Monday to Friday role. Candidate must be available to start as early at 6:00am some days.

Responsibilities
  • Travel to various office sites to perform functions of the position; location may vary on a daily basis.
  • Greet all visitors and examinees and direct them appropriately.
  • Answer all incoming telephone calls in a professional and courteous manner. Screen each call, obtain the caller’s name and relevant details, then route the call appropriately.
  • Review chart to verify examinee name, file number, case type, etc. and add any additional information on chart appointment sheet prior to examination.
  • Provide examinees with all required paperwork for completion and ensure placement in the chart.
  • Route examinee to appropriate exam room.
  • When necessary, chaperone examinations with female examinees or as requested by physician.
  • Maintain a smooth flow of examinations to ensure appointments are kept on schedule.
  • Perform clerical duties such as typing, filing, emailing, and proofreading as required.
  • Oversee the cleanliness of the lobby and report any issues to management.
  • Promote effective and efficient utilization of clinical resources and supplies.
  • Participate in various educational and or training activities as required.
  • Assist in training of new hires.
  • Perform daily audits of cases and workflows; monitor workflow queues and clinician inbox to ensure timely communication and efficiency.
  • Assist Clinic Director with tasks as assigned; stands in for Clinic Director when out of the office or offline.
  • Perform other duties as assigned.
Education and/or Experience
  • High school diploma or equivalent required.
  • A minimum of one year on the job experience in a medical office or related field preferred; previously supervisory experience in a customer service-oriented position or related field preferred.
Certificates, Licenses, Registrations
  • Valid State Driver’s License.
Qualifications
  • Must hold a valid state Driver’s License and be able to perform day travel as required.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Excel, and the Internet.
  • Ability to follow instructions and respond to management’s directions accurately.
  • Must demonstrate accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team-oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage change, delays, or unexpected events appropriately.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
