Job DescriptionWe are seeking a detail-oriented and seasoned Full-Time Office Manager to support our team with various administrative tasks. Must have verifiable and at least 5+ years experience with invoice procedures and billing. The ideal candidate will have a strong attention to detail and excellent multi-tasking ability. Position is in office, Hours are Monday-Friday 9am to 6pm EST.
Key Responsibilities- Perform general administrative duties such as answering phones, managing emails, and scheduling appointments.
- Oversee billing processes: invoicing, payment tracking, and client account reconciliation
- Receive materials and track labor associated with various jobs
- Confirm that all time and materials are properly invoiced
- Reach out to customers for invoice follow up and past due accounts.
- Work to ensure customers are billed appropriately for products and services.
- Create service tickets for all phone and email requests and route the ticket to the appropriate technician
- Greet customers that visit the store front.
- Check in customers that require in-shop service.
- Reconcile banking and credit card statements.
- Provide support for special projects and other duties as assigned.
- Proven experience in an administrative role
- At least 5+ years of billing experience - must be verifiable and current
- Knowledge of Quick Books is a plus
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite
- Ability to work independently and as part of a team.
- Creative thinking and problem-solving skills.
- Extensive administrative experience in office manager role required
- Verifiable and recent experience with accounts receivable and billing procedures
