Job Description

We are seeking a detail-oriented and seasoned Full-Time Office Manager to support our team with various administrative tasks. Must have verifiable and at least 5+ years experience with invoice procedures and billing. The ideal candidate will have a strong attention to detail and excellent multi-tasking ability. Position is in office, Hours are Monday-Friday 9am to 6pm EST.

Key Responsibilities
  • Perform general administrative duties such as answering phones, managing emails, and scheduling appointments.
  • Oversee billing processes: invoicing, payment tracking, and client account reconciliation
  • Receive materials and track labor associated with various jobs
  • Confirm that all time and materials are properly invoiced
  • Reach out to customers for invoice follow up and past due accounts.
  • Work to ensure customers are billed appropriately for products and services.
  • Create service tickets for all phone and email requests and route the ticket to the appropriate technician
  • Greet customers that visit the store front.
  • Check in customers that require in-shop service.
  • Reconcile banking and credit card statements.
  • Provide support for special projects and other duties as assigned.
Qualifications
  • Proven experience in an administrative role
  • At least 5+ years of billing experience - must be verifiable and current
  • Knowledge of Quick Books is a plus
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite
  • Ability to work independently and as part of a team.
  • Creative thinking and problem-solving skills.
Preferred Qualifications
  • Extensive administrative experience in office manager role required
  • Verifiable and recent experience with accounts receivable and billing procedures
