Job Description

The Cow Creek Band Health & Wellness Center is excited to announce an opportunity for a dedicated and dynamic individual to join our team as a Front Office Supervisor. This full-time position is nestled at the heart of our administrative operations, not eligible for remote work, and plays a crucial role in maintaining the effectiveness of our front office activities.

As the Front Office Supervisor, you will assume a central role in ensuring that our administrative functions run smoothly and efficiently. Your leadership will be instrumental in overseeing the front office staff and ensuring that all reception and administrative processes are executed to the highest standards. This position is an excellent opportunity to contribute to the success of our services and make a significant impact within the tribal community.

Duties

and Responsibilities
  • Oversee daily operations of the front office staff to ensure efficient management and excellent customer service.
  • Maintain appointment scheduling, both manually and electronically, ensuring optimal use of resources and patient satisfaction.
  • Train, supervise, and evaluate front office personnel, promoting a team environment that encourages productivity and positivity.
  • Coordinate with other departments to streamline operations and facilitate interdepartmental communication and cooperation.
  • Manage patient flow to minimize wait times and ensure a smooth operational process throughout the facility.
  • Implement and uphold service standards to enhance the overall customer and patient experience.
  • Handle administrative tasks such as record keeping, data entry, and correspondence management with proficiency and accuracy.
  • Develop and enforce front office policies and procedures to ensure compliance with health regulations and maintain confidentiality of patient information.
  • Analyze office processes and recommend improvements to enhance operational efficiency.
  • Conduct regular staff meetings and in-service training to keep the team updated on new practices and policies.
  • Prepare and present reports on front office activities and performance metrics.
  • Ensure all office equipment is maintained in good working order and office supplies are stocked appropriately.
Requirements
  • Must be able to commute to all clinic locations.
  • High school diploma or GED, required.
  • Two years Medical Office Experience preferred.
  • Experience with scheduling referrals and consultation preferred.
  • Strong working knowledge of office procedures, office equipment, word processing/computer experience and knowledge of government program rules and regulations.
  • Proficient in Microsoft Office:
    Word, Excel, Outlook, and Power Point.
  • Must demonstrate proven effective interpersonal communication skills.
  • Demonstrate the ability to work effectively with staff, local agencies, and individuals from different cultural & ethnic backgrounds in a friendly and professional manner.
