This position will provide administrative support to our construction department. The position requires someone who is proactive and driven to solve problems often with limited direction.

POSITION PURPOSE

The OSP Administrative Coordinator is responsible for the administrative tasks associated with construction projects and personnel to ensure smooth and effective outside plant construction operations.

What You’ll be Doing
  • Assist the Construction Managers with coordination and scheduling of construction projects including documentation, workflow tracking, and communication with internal and external stakeholders.
  • Assist the OSP Director with contractor management including scheduling and communication.
  • Manage safety and compliance documentation for projects as well as individual personnel. Work with the HR Manager to track employee training including new hire and annual, and complete incident documentation as needed.
  • Track and manage pole violations with external agencies. Coordinate violation correction and documentation.
  • Work with Engineering to ensure that construction crews have all relevant documentation including permits prior to construction.
  • Create and provide various reports using construction, project management, and billing software.
  • Coordinate OSP meetings, events, and training including annual and monthly safety trainings.
  • Assist Outside Operations Manager(s) and employees with daily administrative tasks including reimbursement requests, credit card reconciliation, timekeeping, and other projects as needed.
  • Occasionally visit job sites to collect information and check on the status of projects.

What You Need to Be Successful
  • High School Diploma or equivalent required. Associate’s or Bachelor’s degree in business administration, construction management or related field preferred.
  • 2+ years of previous experience in an office coordinator, administrative assistant, or a similar role (required) in a construction or production environment (preferred). Experience with safety programs highly desired.
  • Ability to learn new software and applications specific to the industry and position.
  • Positive attitude and strong work ethic as this is a high‑productivity position with a large degree of autonomy.
  • Extremely organized. Able to create organizational systems and instruct others using them.
  • Self‑motivated, ability to work independently or in a team.
  • Clean driving record and valid driver’s license.
  • Professional appearance and customer service oriented. Ability to exercise good judgement, courtesy, patience and tact in public contact and problem resolution.
  • Ability to communicate effectively and build relationships with those internal and external to the organization.
  • Able to meet physical demands with reasonable accommodations if necessary.
